SUMMARY

Responsible for the processing of invoices related to the day to day operation of the business. Process purchase orders, receiving paperwork and invoices to insure timely payment of invoices.

PRIMARY RESPONSIBILITIES FOR ACCOUNTS PAYABLE

• Open and process invoices and other paperwork from the following sources: emails, mail, other departments.
• Process invoices and match paperwork on daily basis.
• Purchase orders
• Receiving paperwork
• Approval paperwork
• Determine if sales tax is applicable and process including but not limited to: no change necessary as on supplier invoice, accrue as company was not charged tax, file exemption deduction for incorrectly charged tax.
• Research invoices, purchase orders and approvals as needed.
• Prepare non-stock receipts when necessary.
• Process expense reports through Concur or paper on a timely basis.
• Forward paperwork to the necessary departments for approval.
• Process weekly checks or wire payments for supplier invoices.
• Review and reconciliation of Advantis Discrepancy Report.
• Distribute accounts payable reports.
• Back up: raw material matching (GRN/VAI paperwork), review of AP Trial Balance, review of GRN Trial Balance.
• Create files for patents and fill related paperwork.
• Ability to review entries and paperwork to pass on accurate work to the next stage.

PRIMARY RESPONSIBILITIES FOR ACCOUNTS RECEIVABLE

• Apply customer payments.
• Lock box maintenance.
• Invoice shipments.
• Research and solve payment discrepancies.
• Process credits to accounts.
• Make calls to customers regarding overdue invoices.
• File freight claims with appropriate companies.

ADDITIONAL RESPONSIBILITIES

• Answer phones.
• Filing and shredding.
• Back up for keeping postage on machine and order supplies when needed.

KNOWLEDGE AND SKILL REQUIREMENTS

• Associate Degree in Accounting plus two to three years of accounting experience.
• Knowledge of generally accepted accounting rules
• Knowledge of Microsoft Office.
• Able to operate following office machines: adding machine, copy machine, computer, scanner.

PHYSICAL DEMANDS

Must be able to work at a computer for long periods of time. Must be able to lift 15-20 pounds occasionally.

WORKING CONDITIONS

Working conditions are normal for an office environment. Work requires extensive work using a computer. Responsibilities may require evening and weekend work in response to work load.
