StayWell Health Center is Hiring a Payroll/Accounts Payable Specialist Near Waterbury, CT

StayWell Health Center is seeking a Payroll / Accounts Payable Specialist who will be responsible for the maintenance and processing of all Payroll and Accounts Payable records, which serve as the basis of much of the Center’s financial reporting. Adhering to established internal controls and Agency policies and procedures.

Some of the responsibilities of this position include:

  • Maintain with timeliness and accuracy all payroll related files and fields in ADP Payroll module (garnishments, deductions)
  • Verify HR batch payroll, transmit Payroll data to ADP Payroll service. Research and resolve all payroll module related issues with ADP in a timely manner.
  • Prepare and reconcile reports for all payroll deductions.
  • Prepare and issue quarterly Overtime Report.
  • Prepare and submit Time & Effort to Community Programs
  • Quarterly analysis and reconciliation of payroll data to Form 941 to general ledger in a timely and accurate manner.
  • Vendor Purchase Order follow-up.
  • Process and post approved invoices daily to AP system (MIP) in an accurate and timely manner; responsible to inspect for e-invoices received via Accounts Payable e-mail box. Download all online vendor invoices, code invoices, and prepare cover page to be attached to the invoice. Verify that the coding is correct on all check requisition.
  • Prepare check and ACH run on a weekly basis; arrange for mailing of checks to vendors.
  • Maintain accuracy and completeness of vendor files in Accounts Payable system as well as paper files.
  • Answer and resolve vendor inquiries regarding invoices and payments in a timely manner.
  • Enter credit memos/debit memos/void checks into AP system - MIP as required prior to month-end.
  • Maintain current W-9 and vendor contract and link to vendor in MIP.
  • Accountable for preparation and filing of year-end 1099 forms in a timely and accurate manner.
  • Reconciliation of Accounts Payable reports to General Ledger prior to month-end.
  • Prepare, reconcile and post in monthly journal entries Health Benefit Premiums.
  • Responsible for effectively researching, tracking, and resolving (or referring) accounting or documentation problems and discrepancies.
  • Perform monthly Period End Close; print A/P Reports on a monthly basis
  • Responsible for monthly logging in per diem data tracking for UDS reporting.
  • Provide hours and gross pay and other payroll related information as needed to HR Director for current and termed employees. Each month report total employee count, hours, and gross pay and quarterly gross pay by each location to the Department of Labor.
  • Provide backup in absence of CEO and CFO in daily bank deposit drop offs.
  • Assist with annual A133 audit as assigned or needed by Accounting Manager and/or CFO.

QUALIFICATIONS

  • Associate's degree in Finance or Accounting
  • At least three years' accounting and payroll experience.
  • Working knowledge of Abila MIP, and ADP Workforce Now.
  • Excellent computer skills including Microsoft Windows environment, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and internet
  • Must exhibit outstanding attention to detail
  • Confidential financial support in a high-profile environment with tact and diplomacy
  • Proven problem solving, ability to work with multiple deadlines and multiple priorities
  • Flexibility, adaptability and ability to work in a changing, fast paced environment
  • Excellent communication skills (written, verbal, and presentation)
  • Ability to work independently, and as part of a team
  • Exceptional level of organization, analyzation, and prioritization skills
