City Experiences is seeking an Event Coordinator / Restaurant Supervisor for our City Cruises operation in Philadelphia.

About the Opportunity :

The successful event coordinator / restaurant supervisor will personally contribute to the unforgettable guest experience, will be favorably viewed by supervisors and peers, and will be swift and efficient in the execution of their assigned duties.

Performance will be measured by internal and external customer satisfaction, departmental tests, management evaluation, and feedback from peers on the citys team.

About You :

This person will be adaptable, dynamic, and embody City Experiences RESPECT Service System.

Essential Duties and Responsibilities :

  • Coordinates the cruise event with the Sales, Food & Beverage, Operations, and Administrative Departments once the sale has been finalized
  • Acts as the liaison between the Company and special-order vendors
  • Develops comprehensive knowledge of product offerings, product extras, pricing, and scripting for all standard products
  • Obtains all information related to a cruise from the sales team and individual call center
  • Coordinates all components of a cruise including tickets, bar packages, photo packages, and other special event orders
  • Place special event orders with appropriate, approved outside vendors
  • Performs pre-cruise calls to confirm final group counts and to finalize any last-minute event details including menu, bar packages, entertainment, and other special requests
  • Upsells to customer who already have cruises booked
  • Ensures complete and accurate product details are communicated to the F&B and Operations Departments to ensure proper execution of the product promised
  • Ensures communication is done in a timely, efficient manner
  • Solicits input and works with Director of Sales and other appropriate sales team members to finalize product offer details as necessary
  • Meets and boards large groups when they arrive for their cruises. On occasion, may be required ride the cruise with the larger groups, especially full deck, and full ship charters, to help ensure outstanding product delivery
  • Provides prompt responses to customer inquiries
  • Documents customer interaction in Salesforce, the Companys sales data base
  • Coordinates & runs the weekly two-week meeting. This includes red alerts, reviewing function sheets and producing the final two-week report
  • Attends and participates in the calendar management meeting
  • Attends other pertinent meetings as requested
  • Ensures customers are billed correctly for all extra services provided according to the signed contract
  • Prints weekly reports
  • Maintains good organizational skills through time management, setting priorities, and accurate paperwork
  • Assist in managing the front-of-the-house staff, including, training, coaching / discipline, and retention of assigned vessel
  • Provides assistance to restaurant managers changing shifts and ensures adherence to procedures detailed in the Product Management Guide.

This includes thorough pre-cruise preparation, adherence to cruise scripts, supervision of front-line staff, proper execution of food & beverage service and entertainment

  • Assist in gathering pertinent cruise event details from the other departments to ensure special guest requests are fulfilled thereby ensuring complete guest satisfaction
  • Participate in conducting pre-cruise meetings and communicates to front-line staff all necessary information regarding the cruise (seating charts, special bar packages, boarding procedures, etc.)
  • Ensure that staff and guests adhere to all safety standards and procedures.
  • Ensure that staff is trained and consistently follows and adheres to proper alcohol service guidelines thereby ensuring the safety of each guest
  • Ensure that all staff consistently follows and adheres to all health department sanitation codes and requirements thereby maintaining the Companys strict standards of sanitation
  • Resolve guest service issues by utilizing strong guest service skills and exercising diplomacy in keeping with company objective of guest retention
  • Observe and recommend line-staff that require further training and development to ensure proper and effective service
  • Recommend approved programs that improve the level of service and product quality
  • Additional job duties as assigned

Requirements & Qualifications :

  • Associates Degree or equivalent work-related experience
  • Minimum of 1 year of previous customer service experience
  • Minimum of 1-year related industry experience
  • Communicate effectively in oral and written form
  • Maintain high level of organization

  • Handle multiple tasks / projects at one time
