State of Utah is Hiring an Office Specialist II Near Salt Lake, UT


Job Title: Office Specialist II 
*This position may be underfilled at a level I. 
Job Description:
The Office Specialists for the Division of Water Resources help leadership and staff to further the mission and goals of the Division by fulfilling a variety of administrative and office support duties.. The job is located in Salt Lake City and is Monday through Friday, 8:00am to 5:00pm.
 Principal Duties:
  • Handle incoming mail and prepare occasional mass mailings for delivery. 
  • Help at the reception desk and provide administrative and staff support. 
  • Prepare agendas and take minutes for Board, staff, and other meetings as needed.
  • Schedule/coordinate appointments, meetings, facilities, meals, equipment, etc.
  • Provide administrative support to the Utah Watersheds Council (post meeting notices, take meeting minutes, and process travel reimbursements, as needed). 
  • Scan the Division's older publications and prepare PDF files to include in the División's digital library.
  • Organize and maintain the office library and maintain stock of recent publications.
  • Archive and retrieve documents to and from the State Archives Record Center as needed.
  • Keep track of completed training and remind staff when required training is due.
Ideal Candidate:
  • Proficiency in written and verbal communication skills. 
  • Willing to assist and help staff and fill in for other assistants when needed. 
  • Willing and able to learn new skills and perform various tasks. 
  • Excellent organization and time management skills. 
  • Familiarity with Utah Open Meetings Act and GRAMMA requirements. 
  • Dedicated and honest.

  • Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
  • Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
