Job Description

Secretary, Division of Special Education

The Secretary will be an integral member of the Division of Special Education, providing support work for the Bureau Chiefs and Division Director of Learning and Results.
Responsibilities Include -
  • Provides support work for the Bureau Chiefs. Provide support to the Division Director of Learning and Results.
  • Accurately post and/or update information on the Department's website. In addition, regularly review the content posted to identify updates or changes necessary as a result of staffing or content changes.
  • Receives/screens visitors and telephone calls; answers routine questions related to school improvement and federal bureaus work. Routes other calls to the appropriate staff person for handling.
  • Relays general instructions/messages and contacts employees to collect and consolidate data; follows up to insure receipt of information required within established time frames.
  • Composes standardized responses to inquiries such as letters of verification of accreditation, application forms, and guidance documents.
  • Assist bureau staff in preparing contracts, preparing purchase orders and routing invoices.
  • Assists staff with general software functionality (Google Suites, Word, use of Department templates and branding) and Workday support (Timesheets, leave requests, spend authorizations, expense claims.)
  • Make travel arrangements and enter expenses in Workday for Bureau Chiefs.
  • Schedules meetings/events, prepares space for attendees (name plates, etc.) and takes minutes for meetings hosted by the division/bureau. Opens and distributes mail. Monitors and orders supplies and/or equipment. Organizes workspaces through support by arranging maintenance work and technology needs updates.
  • Types/proofs correspondence, reports, presentations, minutes, etc. for accuracy, grammar, spelling, sentence structure; prepares final draft for distribution/mailing. Prepare all documents for 508 compliance. This requires creation of the detailed descriptions of data charts, graphics, or images that need to be included in each document so users with visual challenges can understand the document's content.
  • Assists with completion of ADA, Compliance, State Board reports/presentation, updating guidance, allocations, federal reports, and contracts. These reports are aligned to both state and federal law. This work requires an understanding of the laws aligned to each report as well as the required processes within the Department.
  • Serve as a member of the Department hunt group. Answer calls as part of the phone tree for all calls received by the Iowa Department of Education. Answer questions or courteously connect the caller with the most appropriate person to assist them.

Minimum Qualification Requirements

Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;

OR
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
OR
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;
OR
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
OR
employees with current continuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
