The Illinois Department of Corrections is looking for a professional Executive Secretary I to work as an administrative secretary to the Chief Record Officer. The individual selected for this position will conduct special projects and studies, maintain files of reports and records, gather information to assist in preparing responses to inquiries and reports, and perform secretarial functions which may have an impact on program policies and procedures. Essential Functions

  • Serves as administrative secretary to the Chief Records Officer.
  • As a secretary, reads and distributes incoming correspondence and gathers background data from designated sources to assist manager in preparing responses.
  • Keyboards correspondence and reports, flow charts, statistical charts, weekly itineraries which includes technical terminology.
  • Maintains files, personnel information, court decisions, legal opinions, Administrative Directives, Administrative Regulations, and legislation which affects sentence calculation.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience or completion of high school and three (3) years of secretarial experience.
  • Requires ability to keyboard accurately at 55 words per minute.

Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Preferred Qualifications

  • Prefers at least one (1) year of experience working with a Records Retention Schedule and/or similar type of record keeping system.
  • Prefers at least two (2) years of work experience in a records office and/or similar type of office setting.
  • Prefers at least one (1) year of experience of utilizing Microsoft Office Tools such as Word, Excel, and Outlook and/or similar type of computer programs.
  • Prefers at least one (1) year of experience interpreting data in preparing reports.
  • Prefers at least one (1) year experience in preparing agendas, scheduling meetings, and taking notes.
  • Prefers at least two (2) years of work experience responding to inquiries from higher level staff, government officials, and the public.
  • Prefers at least one (1) year of experience making travel arrangements for employees.

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held, is prohibited.
