Your Specific Responsibilities:
The incumbent's primary responsibility is to perform support duties relating to the processing of Social Security disability claims. This position requires the incumbent have good written and speaking bilingual abilities in both English and Spanish. The primary duties require maintaining a courteous demeanor when interacting with claimants, their representatives, general public, and coworkers. The incumbent must be productive under tight deadlines and have the ability to balance multiple priorities. This requires independent decision–making responsibility regarding the maintenance and retention of records relating to the case control, medical evidence of record and consultative examination processes.
Deals directly with claimants, utilizing both English and Spanish languages as necessary to ensure all incoming phone calls are correctly and timely routed to the appropriate examiner, supervisor, or other individual as needed. This requires a broad knowledge of the division’s organizational structure and the disability case process, both at the intake level and examiner level. Additionally, requires the knowledge and ability to utilize SSA and DDS software in order to appropriately route calls to DDS staff.
Reviews unassociated mail to determine appropriate destination. This requires use of SSA systems and DDS software in order to associate medical, functional, and/or vocational evidence with pending disability claims. Once identified by case, uploads documents. Additionally, responsible for uploading MER from CDs and creating barcode pages, validating evidence, scanning medical documents, and reviewing scanned documents for accuracy as necessary.
Provides written or verbal translations as needed, when sorting through mail, taking messages for staff, or when dealing with the public.
Reviews, sorts and prepares batch overnight documents and prepares them for distribution/mailing.
Performs duties as a receptionist on a rotation basis; includes greeting visitors, maintaining sign in/sign out logs, receiving packages and routing to appropriate destination.
Performs other duties as required.
Required Knowledge, Skills, and Abilities:
Knowledge of the principles and techniques of effective communication
Knowledge and ability to understand written and verbal communications in both English and Spanish
Ability to translate both written and verbal information to and from English and Spanish
Ability to identify errors or problems and notify appropriate staff
Knowledge of and ability to operate general office automation equipment, i.e., personal computer, fax, copier, printer, scanner, etc.
Knowledge of scanning operations and electronic file set up
Basic knowledge of the SSA Legacy system, MER generation, invoice processing, CE generation and scheduling
Ability to plan, organize and coordinate work assignments.
Ability to communicate effectively.
Ability to establish and maintain effective working relationships with others.
Qualifications:
Good written and speaking bilingual abilities in both Spanish and English.
