POSITION SUMMARY:

The Ford Dorsey Master’s in International Policy (MIP) is recruiting a highly organized administrative professional to support the program’s five staff members, faculty director, and students. Interested candidates must submit a cover letter and resume to be considered for this position.

Reporting to the Assistant Director for Academic and Student Affairs, the MIP Program Coordinator will perform a variety of functions to support student and academic services, finances, communications, event planning, admissions, and office operations. As noted, this role works closely with the MIP team, as well as students and prospective applicants, faculty and instructors, alumni, and others.

The successful candidate is a friendly, proactive, and dependable self-starter who can adapt to different working styles and needs. They should possess excellent interpersonal and communication skills and enjoy meeting and engaging with people from diverse backgrounds and personalities.

This role requires a high level of professionalism, productivity, organization, multi-tasking, and attention to detail b. The program coordinator should be comfortable working independently, with limited supervision at times, and collaborating with colleagues across the university. An interest in global affairs, public policy, and diverse cultures is valued.

Key responsibilities include:

  • Provide academic administration, student services, and admissions support.
  • Schedule courses, order textbooks, and provide administrative support for instructors.
  • Act as a point of contact for current MIP students on financial and other matters.
  • Coordinate MIP events (e.g., orientation, receptions, admit day, career panels).
  • Maintain university web-based course and degree systems and program handbooks and program website.
  • Manage calendars for shared MIP conference rooms, classroom, and patio.
  • Arrange travel and accommodation for students participating in the Stanford-Vienna Exchange program.
  • Provide support with admissions, student, and alumni analytics and reporting.
  • Process student fellowship and assistantship entries and financial transactions.
  • Serve as financial approver by making financial entries, processing reimbursements, etc.
  • Provide support for budget monitoring and analysis, as needed.
  • Place work orders and order and maintain office supplies.

CORE DUTIES:

  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
  • Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
  • May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

MINIMUM REQUIREMENTS:

Education & Experience:

High school diploma and four years of administrative experience, or combination of education and relevant experience.

  • Advanced computer skills and demonstrated experience with software, website, and email applications.
  • Proven success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.

  • Ability to routinely exercise sound judgment and decision-making.

Hybrid or on-site arrangements

The expected pay range for this position is $33.17 to $43.75 per hour.
