St Thomas Community Presbyterian Church is Hiring an Office Administrator Near Shelby, MI

Office Administrator

St. Thomas Community Presbyterian Church is a 225- member congregation located in Shelby Township.

The Office Administrator will report directly to the pastor and provide secretarial, administrative, and financial services to the pastor, staff, and members of the congregation.

This is a part-time position with hours from 9am to 3pm Monday thru Friday, 25 – 30 hours per week. The hourly rate starts at $20. Paid Time Off.

QUALIFICATIONS:

· Detail oriented plus excellent organizational and communication skills; telephone, typing, computer, and bookkeeping skills.

· Ability to greet everyone who comes into our church in a gracious and courteous manner.

· Proven degree of integrity, sound judgement, confidentiality, and positive attitude.

· Administrative office experience is required. Administrative support for a church, non-profit or faith community is preferred.

Software Experience Preferred:

· Google Drive and Google Documents, Microsoft Office and Publisher, Quicken or similar financial software. Constant Contact or similar publishing, Web based applications and other database functions.

DUTIES AND RESPONSIBILITIES:

Administrative duties:

· Work with pastor to prepare and publish the worship bulletin.

· General communication: Greet and direct visitors, manage phone calls, emails, flyers, mailings, messages and newsletter.

· Usage and maintenance of general office equipment.

· Provide secretarial duties for groups, committees, or other church organizations as needed upon requests (copying, mailing, etc.).

· Maintain community database records such as membership information, attendance, contact notes, personal files etc.

· General duties as needed: typing, filing, publishing documents, scheduling meetings and building access, event coordinating and sign-ups, coordinating maintenance, ordering supplies, communications, accurately recording detailed information, confidentiality, and reporting.

Financial:

Accounts Payable including:

· Receive bills and receipts.

· Categorize bills and determine correct general ledger account for charging.

· Check writing, approval, and distribution.

· Banking and online bill pay

Account Receivable including:

· Oversee weekly accounting and recording of donations.

· Banking deposits and documentation.

· Assist with publishing and tracking annual pledge campaign (when members establish donation goals).

Payroll Processing including:

· Calculate payroll checks using Excel template.

· Prepare payroll checks using Quicken.

· Order tax forms during tax season and create mailing labels.

Reporting:

· Prepare monthly, quarterly, and annual reports for Treasurer/Accountant.

· Prepare & mail out quarterly contribution statements.
