Job Summary
MAJOR FUNCTION: Responsible and advanced clerical and administrative work assisting the County Administrator and Deputy County Administrator with coordinating the daily office operations for County Administration and related functions and activities necessary for the effective and efficient operation of the County.

Essential Job Functions
KNOWLEDGE, ABILITIES AND SKILLS NEEDED TO PERFORM THE ESSENTIAL JOB FUNCTIONS OF THE POSITION:
Knowledge:

  • Knowledge of modern office management methods, procedures and equipment.
  • Practical working knowledge of using a personal computer at the intermediate level.

Abilities:

  • Ability to work in a fast paced environment that demands sensitivity to confidential matters.
  • Ability to analyze and solve administrative problems and render advice and assistance on each.
  • Ability to present oral and written comments and recommendations clearly and concisely.
  • Ability to make sound independent judgment.
  • Ability to maintain good public relations with subordinates, superiors and the public.
  • Ability to effectively supervise subordinate employees.
  • Ability to effectively use a personal computer and Microsoft Office or similar office/business software applications, including, spreadsheets, word processing and powerpoint
  • Ability to use other office related equipment.

ESSENTIAL JOB FUNCTION:

  • Performs a variety of complex administrative tasks associated with managing office activities;
  • May answer correspondence independently;
  • Schedule appointments, performs intake of visitors, maintains office calendar;
  • Review and check records, forms and other documents for accuracy, completeness and conformance to rules and regulations; posts a wide assortment of information to records;
  • Collect information from a variety of sources and compiles data for reports;
  • Maintain department personnel files; prepares a variety of correspondence;
  • Act as liaison between office, departments, elected officials and general public;
  • Open, screen, prioritize, review and route mail;
  • Set up and supervise the maintenance of filing systems; develops office procedures;
  • Receive and processe complaints or refers to appropriate department; follows-up on responses;
  • Utilize the automated agenda preparation system and coordinates preparation of the County Commission agenda for regular and special meetings/workshops including posting of the agenda to the County website.
  • Read, classify, refer, or answer memos, reports and correspondence.
  • May instruct, assign, or supervise the work of subordinate employees in the accomplishment of the work of the County Administrator's office. Initiates and carries through to completion special programs as directed by the County Administrator or Deputy County Administrator.
  • Prepare reports on a variety of subjects.
  • Assist other departments in the preparation of reports, agenda items and other projects as assigned.
  • Assist in analyzing departmental requests.
  • Provide advice and assistance when needed concerning same.
  • Maintain close contact with other County Departments and necessary contacts with outside agencies.
  • Interview visitors to County Administrator's office and attempts to solve problems without further referral.
  • Perform related work as requested or assigned.

EMERGENCY MANAGEMENT RESPONSIBILITIES: During emergency conditions, all County employees are automatically considered emergency service workers. County employees are subject to being called to work in the event of a disaster, such as a hurricane, or other emergency situation and are expected to perform emergency service duties, as assigned.

ESSENTIAL PHYSICAL SKILLS: Use of hands and fingers with dexterity. Occasional walking and standing. Ability to occasionally lift up to 30 pounds.

ENVIRONMENTAL CONDITION REQUIREMENTS: Most duties are performed inside the office in a sedentary posture. Outside duties to include visiting County departments with varied locations and terrain are also required.

WORK HAZARDS: Possible vision dysfunction due to heavy computer work.

SAFETY EQUIPMENT USED OR NEEDED: None.

Qualifications

EDUCATION: Bacholers degree in Public or business Administration or related field from an accredited college or university.

EXPERIENCE: Two (2) years of progressively responsible administrative experience. A comparable amount of training and experience may be substituted for the minimum requirements.

LICENSE, CERTIFICATION, OR REGISTRATION: Valid Florida’sDriver’s License and must maintain a good driving record.

Pay Grade 22

Driving Position – Operating County vehicles and/or equipment is a primary function of this position.
PRE-EMPLOYMENT SCREENING: This position requires a physical, drug testing, driver's license verification and level 1 background screening.

Job Type: Full-time

Pay: $59,779.20 per year
