Description

SUMMARY OF POSITION:

Springs Rescue Mission considers every position one of ministry and a vital and valued part of our team. The Business Operations & Intelligence Manager reports to and supports the Chief Development Officer by developing and managing internal processes, software, resources, data, and business intelligence to maximize Springs Rescue Mission’s donor ministry’s stewardship of donor relationships. This position works to create systems that measure metrics tied to advancement team success, and helps teams uncover strategic audiences for messaging and relationships. Additionally supports advancement by overseeing administrative support to help teams stay focused on external relationships. 

DUTIES & RESPONSIBILITIES:

Database Strategy

  • Responsible for the Mission’s 105,000-contact donor and prospect database (EveryAction) 
  • Develops, audits, and updates processes and business rules as they relate to data integrity and business intelligence
  • Manages the super-admin account for the database and helps prioritize support tickets across multiple teams
  • Manages security requirements for donor data and ensures systems are optimized to serve donors and development team strategies
  • Controls and manages user access to database and security permission levels
  • Oversees and manages database systems, vendors, and consultants who aid in SRM achieving its goals
  • Performs routine data integrity audits and conducts all maintenance updates as a super-admin or in coordination with EveryAction support specialists
  • Manages code tables, naming conventions, and develops business rules that empower others to add and utilize codes fully for reporting and business intelligence needs
  • Project management for any significant projects related to database integrations or migrations

Business Operations and Processes

  • Develops processes and procedures to ensure team members utilize data and systems completely and accurately
  • Develops and oversees business rules to ensure development and gift processing teams are capturing strategic data and data is entered into the database accurately
  • Communicates with CDO and advancement teams about metrics and potential growth opportunities
  • Assists Development team with donor software integration, automations, reporting, and campaign lists
  • Research ways to leverage and improve systems to increase productivity
  • Serves as liaison between development and finance departments:
  • Regularly reviews gift processing accuracy and provides ongoing feedback about data integrity and business intelligence processes related to gift entry
  • Reconciles revenue and gift entry coding with Finance Controller once a month
  • Assists CDO in developing annual, quarterly, and monthly revenue and expense forecasts as needed

Donor Movement Strategy

  • Research donor giving patterns through data analysis and business intelligence software; providing team leadership with insights and contact lists that can turn into action for Marketing and Donor Development strategies
  • Serves as a catalyst for development team’s activity by providing actionable assignments and strategic contact lists to further department goals
  • Develops and maintains source codes, campaigns, and revenue streams (i.e. channels) for fundraising strategies to accurately measure and review channel and campaign performance metrics
  • Develops and maintains system processes and automations that move donors and prospects through a strategic relational donor journey that encourages deeper investments and prolonged engagement between the Mission and its donors
  • Develops and facilitates RFM and predictive modeling to create and segment direct response plans to get the right message to the right donor at the right time
  • Grows with the team in defining and measuring donor journey lag and lead measurements; equips the team with reporting related to those lag and lead measurements

Business Intelligence

  • Manages the Cloud Pipeline and extracts data to create charts, graphs, and ad hoc reports utilizing default reports in EveryAction’s report manager, and Microsoft BI to highlight SRM’s fundraising strengths, weaknesses, and opportunities
  • Develops business reports to share with CDO on weekly, monthly, quarterly, and annual basis. 
  • Develops dashboards for development team
  • Develops systems to capture department and divisional return on investment (ROI) for specific and overall strategies
  • Creates and maintains weekly and monthly reports highlighting successes and overall scoreboard for strategic initiatives
  • Regularly reviews RFM and predictive modeling performance with the marketing team to optimize getting the right message to the right donor at the right time 
  • Attends all required meetings and reviews SRM emails regularly
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.

Requirements

EDUCATION/EXPERIENCE:

  • Bachelor’s degree 5 years of database, or business systems management
  • Previous experience organizing, scheduling workflow
  • Previous experience working for a donor-funded non-profit organization
  • Statistical Business Analyst (SAS) certification preferred
  • Expert in database administration and Excel 

SKILLS AND QUALIFICATIONS:

  • Detail and process oriented with strong understanding of systems and databases
  • Strategic curiosity and proficiency in organizational management to innovate, measure and optimize strategic development risks
  • Understanding of and ability to produce common business metrics
  • Able to learn new systems or lead organization in embracing new systems
  • Able to order and prioritize workflow to achieve required results within defined timeframe 
  • Skilled and proficient in EveryAction, comparable database or CRM preferred
  • Computer literate and highly proficient in Microsoft Excel a must 
  • Highly proficient in Microsoft Power BI, and DAX
  • Attention to detail and good organizational skills
  • Good communication skills – verbally in person and on the phone
  • Familiar with PCI compliance guidelines
  • Able to read, write, and perform mathematical computations 
  • Expert in visualizing data through charts, graphs, etc. 
  • Able to plan, organize, and prioritize tasks
  • Creative and strategic implementor 
  • Ability to maintain strict confidentiality
  • Ability to perform effective and productive research
  • Reliable and trustworthy – able to maintain confidentiality, high productivity and meet deadlines
  • Adaptive 

WORKING CONDITIONS/PHYSICAL FACTORS:

Occasionally = 1%-33%; frequently = 34%-66%; continuously = 67%-100%.

Salary & benefits include the following: $70,000/year - $80,000/year, DOE. 

* Full benefits package to include: medical benefits with SRM paying 85% of the medical premium, voluntary Dental, Vision, Allstate Accident Plan, SRM-paid Short-Term and Long-Term Disability, Life Insurance, and AD&D. Also offered are 8 paid holidays, 21 days of accruable PTO, paid “Soul Care Retreat” days (up to 4 depending upon availability), and a 403b retirement plan with SRM-match after one (1) year, 100% vested beginning DOH; (Benefits are subject to change based on reevaluation or benefit plan changes annually.)
