What is the Springfield Park District?
The Springfield Park District offers a variety of educational and recreational programs, classes and events for people ranging in age from 6 months to seniors. The Park District partners with several local organizations and clubs to provide athletic programming such as youth baseball/softball, men’s soccer, disk golf leagues, cricket, rugby, pickleball, youth football, bicycling clubs and related clubs/groups. Additionally, the Springfield Park District also maintains intergovernmental/cooperative agreement with various Police Departments, School District and local colleges. We manage 4 Golf Courses, 2 Indoor Ice Rinks, 2 Outdoor Pools, Indoor Pool, 3 Dog Runs, 3 Disc Golf Courses, 2 Baseball Stadiums, 2 Early Childhood Program Facilities; Preschool & Funshop, 2 Historic Pavilions, Special Needs Facility, a Carillon, Botanical Garden, Tennis Complex, Skate Park, Erin’s Pavilion Rental Facility and the Henson Robinson Zoo.

Position Summary:
The Recreation Program Assistant Supervisor is a mid-level supervisory position. Primarily responsible for assisting the Facility Program Supervisor with effective and successful development with, administration, execution, supervision, and staffing of recreation programs; ice skating, hockey, broomball, ice rentals, facility rentals, aquatics, summer day camp, birthday parties, and related activities offered at the Nelson Center in cooperation and under the direction and authority of the General Manager. Position is also responsible for assisting with appropriate staffing procedures in place for all program administration/execution.
Specific Responsibilities:
- Performs work (supervisory and manual) at the direction of the reporting authority or designee, but is not limited to, the following responsibilities:
- Responsible to follow the opening and closing procedures to ensure safety of all staff and patrons.
- Assist in developing and sharing information on the daily rink schedules which include locker room assignments, daily ice maintenance schedules, Franklin Room rentals, Birthday party rentals, etc.
- Responsible for assisting in oversight of maintenance, general housekeeping, and cleanliness of entire facility.
- Monitor facility inside and out to ensure cleanliness, general housekeeping, and district standards are being achieved.
- Responsible for knowledge and utilization of RecTrac POS and cash handling procedures.
- Responsible for assisting with inputting all programs, activities, events and schedules into RecTrac software.
- Responsible for supervising, delegating, and assigning personnel in the performance of their duties and responsibilities, (i.e., rec associates, skate guards, custodians) processing concerns and problems, and directing work in accordance with center and district standards/guidelines and communicating programmatic information and needs.
- Responsible to learn the operation of Skate Sharpener and to perform skate sharpening as needed.
- Assist with the supervision and organization and operation of recreational and athletic programs, cultural arts programs, tournaments, and special events at assigned recreation center and facilities; organizes calendars of events; monitors activities to ensure compliance with department rules and regulations; monitors facilities and equipment for proper use; assists in setting work schedules.
- Responsible for assisting with inputting all programs, activities, events and schedules into RecTrac.
- Serves as liaison to the general public in responding to questions, problems and complaints; provides technical assistance and direction to instructors, coaches, referees and others in conducting programs, activities and events; explains policies and procedures to participants, staff, and volunteers.
- Responsible for assisting with the Department’s advertising, website and social media and working with the Graphic Design and Marketing Assistant when needed.
- Assist with the monitoring of the condition of recreation facilities, ice rink, and swimming pools
- Assists with registration for scheduled events and programs; assists in registering participants; accepts registrations and payments for programs, activities, and events.
- Assist with maintaining registration records and balances cash transactions, reviews registration materials and rosters for completeness.
- Research current practices and trends in recreation programming and proposes new or revised policies and procedures for consideration by the Recreation Committee.
- Assist with the supervision of implementation of programs to ensure compliance with applicable regulations and department policies; evaluates and assesses effectiveness of programs; prepares related reports to document findings.
- Assist with maintaining program schedules, registration materials and records, fee collection reports, budget reports, facility usage sheets, department activity reports, facility and equipment maintenance records, log sheets, and other documents.
- Interacts with parents, children, program participants, instructors, coaches, youth associations, community organizations, civic groups, and others regarding programs, events, and activities.
- Assist with composes correspondence, draft reports, develops tables and charts, and promotional materials.
- Responsible for administering all center and district work rules and personnel guidelines, labor agreement provisions, safety regulations and other guidelines, as applicable.
- Responsible for administering appropriate forms of reporting of all accidents and, at the direction of reporting authority, responsible for investigating such accidents.
- Responsible for proper accounting procedures of all monies, receipts, forms, and deposits generated by the center’s activities, including ringing and collecting payment into the POS system and balancing the daily cash drawer.
- Responsible for registering patrons and customers for Center programs and activities, and issuing lesson vouchers and skating tickets.
- Responsible for security of the Facility while open for business, and abiding by closing procedures to ensure security of the staff and the building, while it is closed.
- Responsible for maintaining positive communication and public relations with customers, visitors, user groups, and others utilizing the facility.
- Perform other duties and responsibilities as directed by reporting authority.
Required Knowledge Skills & Abilities:
- Bachelor’s Degree in Parks and Recreation Administration or related field of study or equivalent knowledge and experience gained through prior work experience in area of recreation, ice rink and aquatic programming or related work experiences.
- Responsible to obtain knowledge of basic swimming pool maintenance and operations.
- Responsible to obtain knowledge of audio systems and scoreboard functions and operations.
- Responsible for learning to operate the Ice Resurfacer(s), assist in performing ice makes if needed.
- Work schedule is based on operational needs, typically weekend and night shifts.
- Responsible for crowd control during on/off-ice activities and events.
- Responsible for ensuring all facility emergency and safety procedures are followed in the event of an emergency.
- Knowledge of basic swimming pool maintenance and operations.
- Refers to Springfield Park District policies and procedures, recreational and athletic handbooks, first aid manuals, national recreation programming materials, recreational guidebooks, city maps, budgets, administrative records, registration materials, and other documents in performing assigned duties.
General Requirements:
- Must be 18 years of age or older.
- Must be able to read and write and have good command of the English language.
- Good oral and written communication.
- Physical capabilities – lifts 50 pounds, squat, bend and move as necessary for the job.
- Must be able to perform basic mathematics.
- Must have basic proficiency of Microsoft Excel and Word.
- Must possess valid Illinois Driver’s License.
- Must possess professional phone skills and work well with the public.
- Must be able to pass a background and drug screen.
- Must present a neat and professional appearance.
- Responsible to follow policies and procedures outlined in Springfield Park District employee manual.
