Job Description
Office Admin/Accounts Payable Clerk – Bilingual
While the primary responsibility for this position is to maintain the Front Desk; person will be asked to support other departments in general admin functions (when needed)
 Front desk duties:
  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Offer guests and visitors refreshments such as water and coffee.
  • Answer, screen and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Provide translation support (when needed).
  • General office filing.
  • Maintain and update record tracking documents (when needed).
  • Receive, sort and distribute daily mail/deliveries.
  • Deposit daily checks following company’s procedures, including updating Daily Cash.
  • Order front office supplies and keep inventory of stock.
  • Perform other clerical receptionist duties such as needed.
Accounts Payable:
  • The AP Clerk facilitates payment to our vendors pursuant to the Vendors and Company’s contractual terms.
  • The AP Clerk is to reconcile vendor statements to invoices received to insure proper accounting of all invoicing in the month of purchase.
  • The AP Clerk manages all vendor files and systems, ensuring all necessary vendor information is collected to properly build and maintain a Vendor with in the Winteam system, paying particular attention to ensuring that all federal and state laws are followed.
  • AP Clerk will assist with Corporate Services for any and all administrative functions deemed appropriate to AP position.
  • Pay all invoicing weekly, ensuring that all viable discounts are taken. And any other duties as may be determined by the Bookkeeper and Corporate Services Manager.
  • Prepare Weekly Check run for CEO signature and mailing.
  • Update Daily Cash with Check run totals.
  • Prepare 1099’s at year end.
  • Follow Month End Close Checklist.
Additional Requirements:
  • This position requires a high proficiency in MS Excel and an understanding of basic office equipment.
  • A positive customer service demeanor and the ability to prioritize are required.
  • The position requires accuracy and sharp attention to detail.
  • Qualified persons will maintain a professional appearance, be motivated, and self-directed.
