Job Description - Administrative Assistant

Reports to: Business Manager

Job Overview: The Business Manager Assistant is responsible for monitoring the timely submission of all program reports. Preparation of residential and non-residential client subsistence and restitution accounts and maintenance of client discharge files. Assist the Business Manager with preparation of financial reports, billing and account monitoring

Qualifications: BS degree in Accounting or Business Management or the equivalent of 3 years’ experience in a related field. Working knowledge of MS Office Suite and basic accounting principles.

Responsibilities:

1. Maintenance and oversight of all client subsistence accounts and oversight of client restitution balances and payments, including processing client checks weekly and as needed.

2. Set up program subsistence billing data for new clients.

3. Updating website and Facebook page

4. Maintenance and distribution of client census and other data.

5. Final closure, distribution of discharge notice to referring agency and maintenance of archives of discharged client files.

6. Create staff and client identification cards/badges.

7. Maintenance of staff training requirements and hours.

8. Preparation of daily deposits and make the deposit at the bank.

9. Review and code bi-weekly accounts payable bills, submit to Executive Director for approval, then submit to Accountant for processing. After receiving checks back from the accountant, stamp the date of mailing, along with the check number, on the invoice and mail out payments.

10. Collection and distribution of mail.

11. Enter client payroll tax deductions in ETRAC.

12. Training for advanced position.

13. Provide support for the Business Manager, Executive Director.

14. Other duties as assigned.
