So now that you know about us, here’s where you come in…

At PartnerCare, we believe our team members are at the heart of our organization. The Front Office Coordinator is on the front line of our practices. They are ambassadors of PartnerCare and are pivotal in initiating the best possible patient experience. They are responsible for overall front desk activities including management of the reception area and meeting areas, customer service, phones, mail, and office supplies. This position trains, supervises, and schedules administrative volunteers, coordinates front office coverage, and assists on projects and any additional administrative support necessary for the practice.

Had you been with us last month, these are the things you would do:

  • Provides exceptional customer service in person and on the phone to patients, families, staff, vendors, and the community: greeting guests, observing front door/guest protocols, HIPAA Privacy and Security procedures, etc. 
  • Oversees the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image; o Coordinates with the Executive Assistant overall activities for the front office, including training, scheduling, and supervision of front desk volunteers and staff coverage; o Maintains Front Office Manual, updating all forms, manuals and charts as necessary
  • Serves as a contact point for phone vendor and answering service
  • Maintains the ‘on-call’ list and assists patients on a daily basis
  • Oversee office supplies: organizing, maintaining, and communicating needs on weekly basis to Executive Assistant
  • Assists with new staff onboarding training, including mailboxes, office supplies, phone orientation, and security; Maintains kitchen, staff break room, conference rooms, and education/training room throughout the day, including laundry and dishwasher; oversees room set up and clean up for meetings and groups. 
  • Coordinates the maintenance and alteration of office areas and equipment as well as layout, arrangement, and housekeeping of office facilities in conjunction with Executive Assistant and Director of Facilities
  • Coordinates the maintenance of office equipment, including copier, fax machine, etc.
  • Administrative Support sometimes involves some or all of this, doing things like processing daily deposits, coordinating and scheduling practice meetings
  • Participates as needed in special projects
  • Oversee and/or manage special projects for PartnerCare HQ Leadership and other departments
  • Assists with mailings of thank you letters and oversee coordinates mailings.

and after having done all these things and more, you would have the following…

  • High School graduate/GED required; college degree preferred.
  • Two (2) years of experience managing an office; medical office experience preferred
  • Two (2) years of supervisory experience, exemplary customer service, and organizational skills required
  • Knowledge of HIPPA and client confidentiality laws
  • A valid driver's license and evidence of insurance coverage
