Southern Illinois University Edwardsvlle is Hiring an Admissions Coordinator Near Edwardsville, IL

The office of Graduate and International Admissions is currently seeking candidates for the position of Admission Coordinator to provide counsel to prospective students, while also overseeing recruitment events and facilitating efficient office operations.

The position involves implementing graduate and international recruitment initiatives, which require organizing and managing a diverse array of events for both prospective international (undergraduate and graduate) and domestic (graduate) students, thus enabling them to gain a comprehensive understanding of the university and the academic opportunities available at SIUE. The admissions coordinator is responsible for providing advisory services to international students regarding admissions requirements and application procedures, andwill assist with information regarding the student visa process.

Additionally, the coordinator facilitates scholarship-related activities within the department. The role entails representing the University at domestic college fairs and other public events, as well as participating in outreach activities designed to attract students to the university. The coordinator organizes student engagement options, including web chats, zoom advising meetings, virtual open house events, and online recruitment platforms. This requires collaboration with the marketing and communications department to develop and implement communication plans, as well as coordinating with other enrollment management team members, the graduate school, and international affairs departments, as needed. The position aims to attract academically strong students from diverse backgrounds by working collaboratively with both prospective students and the University community. The role may require some travel.

Duties and Responsibilities:

  • Assist in the recruitment and admission of new students to the university who contact the office by phone, email, and on-line platforms, or those who visit the office in person. Advise prospective students regarding academic program requirements, application/admission procedures, and the transfer-in process. These prospects may be international students (first year, transfer, or graduate) or domestic graduate students. Assist international students with visa related issues.
  • Coordinate the department's scholarship related activities. Work with the graduate school to implement the application review process for the Graduate Scholar Award and communicate with applicants throughout this process. Serve on the Meridian scholar review committee and manage communication with international applicants for this award during the application and visa process.
  • Organize and manage virtual and on campus recruitment events, including the Graduate Open House, academic department events, and international student webinars. Must coordinate closely with the graduate school, faculty members, the IT department and event services. Responsibilities include pre-event planning and day of the event organization to ensure students obtain information about specific programs, funding opportunities, etc.
  • Represent the university at recruitment fairs, information sessions, and public meetings. Ensure that prospective student contact information from recruitment events, website leads and outside vendors are incorporated into SIUE's communication plans. Coordinate campus visits and faculty meetings for prospective student groups or individuals. Ensure marketing materials and program profiles are readily available to prospective students, and those university employees engaged in recruitment.
  • Assist in the review of marketing materials and communication plans targeted at prospective graduate and international students. Participate in the annual review of printed materials, e-mail communications, and online content designed to generate leads and assist the students through the application and admission process. Must work closely with the marketing department and utilize the university's CRM system and Radius extensively.

Work Schedule: This position is full-time, requiring 37.5 hours per week. The standard work week runs from Monday to Friday, with working hours from 8 a.m. to 4:30 p.m.

Typical Qualifications

Minimum Qualifications:

  • Minimum educational requirements for the position is a Bachelor of Science or Bachelor of Arts degree
  • Proven written and oral communication skills
  • Demonstrated positive work ethic
  • Interpersonal and counseling skills
  • Organization and time management skills
  • Problem solving skills and abilities
  • Understand and adhere to the Statement of Practices and Courtesies for the National Association for College Admission Counseling (NACAC), and the International Association for College Admission Counseling (IACAC).
  • Person must maintain a valid driver’s license

Preferred Qualifications:

  • Knowledge of college admissions policies and international student visa regulations.
  • Knowledge of student application and data systems or similar technical experience
  • Knowledge of CRM systems.

Additional Information: This position does not offer work authorization sponsorship. International students at SIUE on F-1 or J-1 visas are not eligible for full-time or part-time civil service positions with permanent status. F-1 and J-1 visa holders must be enrolled full-time and can only apply for temporary part-time roles working 20 hours or less per week during spring and fall semesters, such as student worker positions, assistantships, and civil service extra help roles. SIUE is a state university, and it's important to highlight that benefits from state-sponsored plans may not be accessible to individuals on F1 or J1 visas.
