The John Martinson Honors Program (JMHP) is currently seeking qualified candidates to fill the position of Office Manager.

Honors at SIUE is the recent recipient of a significant gift from SIUE alumnus John Martinson to expand the services and education provided to high-performing and curious SIUE students. The Office Manager will be the first full-time administrative assistance the program has received since its creation, and will play a key role in the development, success, and promotion of the JMHP.

  • Oversee and maintain the program’s operating budget and financial services, including budget tracking, financial reporting, purchasing, and inventory management. The Office Manager will represent the director at financial management and human resources meetings.
  • Create and oversee honors projects planning by developing appropriate resources, documentation, and operating procedures to ensure effective and efficient implementation of honors priorities.
  • Coordinate the administrative aspects of curriculum management, by coordinating course scheduling, data entry, class changes, faculty contracts, book orders, evaluations, etc. The Office Manager is responsible for the record-keeping required for assessment and compliance.
  • Manages the electronic and in-person “front of house” operations of the program, including often serving as the front-line/first introduction to honors. The Office Manager will supervise student workers and coordinate all activities for visitors to the honors office spaces.
  • The Office Manager also serves as the direct support for the Director of the John Martinson Honors Program, and will assist with scheduling, calendar management, and other related activities.

This position requires the ability to make independent decisions following established college and/or divisional protocols and policies, excellent communication skills, initiative and organization to manage office activities and staff.

The position also requires proficiency in working with various computer software systems and precision in data entry and management for data analytics and reporting purposes. High level of accuracy is required for all tasks, including budgets, record management, report preparation, and distribution of materials.

Finally, the Office Manager will demonstrate a commitment to inclusive excellence, as articulated and embraced by SIUE and the JMHP. Students in honors not only represent every academic unit on campus. Minimum Acceptable Qualifications:
  • High school diploma or equivalent.
  • Two (2) years (24 months) of work experience comparable to the third level of this series.
Preferred Qualifications:
  • Bachelor’s Degree in any field
  • Proven organizational and leadership skills
  • Demonstrated commitment to customer service.
  • Excellent communication and collaboration skills
  • Proficiency in MS Office Suite
  • 3 years of professional experience in planning and management
  • Project management certification
  • Experience extracting data from student enterprise system, CRM or technology systems
  • Experience and knowledge of higher education or nonprofit administrative practices
