Job Description

SUMMARY:

Souder, Miller & Associates is seeking a full-time, Proposal Writer/Marketing Specialist II/III to support our engineering, environmental, and geomatics technical teams with developing proposals in response to RFPs, RFQs, and other solicitations as required. Experience coordinating, managing and writing proposals, qualifications packages and related correspondence is required. The Proposal Writer/Marketing Specialist II/III provides general marketing support for business development activities and reports to the Marketing Manager. Typical activities may include but are not limited to developing marketing collateral, monitoring relevant industry sources for project leads, writing proposals, developing proposal materials and qualification packages, word processing, publishing, and graphic design support to all marketing efforts. The Proposal Writer/Marketing specialist II/III candidate must have strong writing, editing and graphic design skills, as is fluency with Adobe InDesign and Photoshop programs.

RESPONSIBILITIES:

  • Provides coordination, management, writing, editing and graphic design for proposal production, brochures, and other marketing materials.
  • Provides general administrative support for firm’s marketing activities.
  • Formatting, drafting, editing, proofreading, and assuring use of proper grammar and spelling in all marketing materials.
  • Assists the Marketing Manager in developing the marketing plan, facilitate the marketing staff meetings and help to manage the marketing support staff.
  • Work with team members to strategize responses to RFPs/RFQs early in the process through capture planning and continually throughout the pursuit and completion.
  • Assist in developing and maintaining marketing materials, information systems, tracking systems and records.
  • Complete qualification documents by utilizing and organizing companywide information as well as interfacing with the project managers and executive management to compile appropriate details.
  • Responsible for delivery of marketing materials including proposals to client by stated due date.
  • Searches firm's files for materials that may be helpful at the time of first meeting with the client, such as brochures and descriptions of projects the firm has completed that are similar to what the prospective client is planning.
  • Assists in preparing slides, story boards or other special items for a presentation.
  • Assists in development of company services brochures.
  • Assists in coordinating photography and videography of projects.
  • Contributes to the maintenance of CRM databases.
  • Maintain and adhere to standardized proposal formats for the firm.
  • Prepares computer graphics for proposals and presentations.
  • Writing, word processing, typing, editing and manipulation of information (letters, proposals, brochures, and other marketing materials).
  • Coordinates the firm’s social media presence and internal news outreach.
  • Reviews external bid advertisements to distribute to firm’s Project Managers and enters this data into Client Relationship Management tracking software.
  • Responsible for job specific quality system tasks as defined in quality manual.
  • Thorough understanding of principles and methods used to promote, display, and sell products and services. 
  • Operates binding systems and uses products such as laminators and spiral binding machines.
  • Keeps updated on professional printing requirements for brochures, business cards and display graphics.
  • Professional appearance and demeanor.
  • Able to exhibit a high level of confidentiality.
  • May require irregular hours at times.
  • Performs other duties as assigned.

$25.00 - $36.00 ( Marketing Specialist II/III )
Job Requirements
  • Associate degree in communications, Journalism, or related field is required.
  • At least 3 to 5 years of experience performing marketing tasks, especially proposal writing and research, in the A&E industry or related field.
  • Federal experience in addition to general A&E experience a plus.
  • Corporate social media account management experience a plus.
  • Must have a valid driver's license and able to pass drug and alcohol test.
