THE ROLE

This role will support Sotheby’s Museum and Corporate Art Group.

Sotheby’s Museum and Corporate Art Group is a client-centric team that works across all collecting categories facilitating transactions and services for our institutional and corporate clients. As the house of choice for museum sales, Sotheby’s has been entrusted with nearly three-quarters of all material sold by institutions over the last decade. Similarly, Sotheby’s dedicated Corporate Art Services team has specialized in helping corporations assess and manage their collections and find value in the art marketplace for over 25 years.

RESPONSIBILITIES

Consignment Coordination

  • The primary responsibility for this role is to oversee all consignment management for the department, including coordination of valuations for sale purposes, contract coordination with presale coordinators, shipping, compliance, designations and cataloguing requests with specialist departments and clients.
  • Manage all pre- and post-sale coordination to streamline client communication and oversee organization of all updates and logistics on an item by item level for consignments – including tracking updates on sale changes, estimates, reserves, results, settlement dates, attribution, and authentication.
  • Track the settlement process very closely to be sure the consignor is apprised and proceeds are remitted in a timely fashion.
  • Work closely with Sale Department Coordinators to ensure deadlines are met for both pre-sale coordination and post-sale settlement.

Valuations

  • Manage all museum valuations requests, partnering with the Valuations department and liaising with the specialist teams to ensure timely delivery of all appraisals.

Business Intelligence Tracking

  • Maintain a database of past and upcoming department and direct competitor tracking for museum and corporate client property in all sales worldwide.

Business Development

  • Serve as RMA for the SVP, Head of Department, supporting as client liaison for priority clients.
  • Liaise with department clients on all stages of the pre- and post-sale bidding and buying process in a timely manner, including: sending high-resolution images, in-situ images, condition reports; registering bids; ensuring correct invoicing and addressing payment questions; obtaining shipping quotes; communicating with Post-Sale Services and Shipping to ensure all client requests are met
  • Support scheduling of meetings/event logistics (AV requirements, RSVPs, menus, venue set-up, etc.) for the department
  • Book travel and complete all expenses and ensure timely payment for the SVP, Head of Department
  • Ensure the department is prepared for all meetings/pitches/client interactions with materials, including valuation listings and proposal documents

Business Coordination

  • Prepare and track MCAG sponsorship invoices and payments
  • Partner with BD and accounts payable to raise and process all POs for division and ensure all costs are appropriately allocated

General

  • Work and communicate effectively with local and international colleagues
  • Handle loan requests and image reproduction requests
  • Support in producing proposal letters and materials in coordination with Specialist and Proposals departments
  • Liaise internally with employees, Sotheby’s Preferred, and HR regarding client and employee access to museums
  • Work on company and department initiatives as directed

IDEAL EXPERIENCE & COMPETENCIES

  • Bachelor’s degree required
  • Preferred 2-3 years of work experience in the art or business world
  • Exemplary interpersonal and communication skills, team oriented, pro-active problem solver, attentiveness to detail
  • Excellent organizational skills
  • Strong written and interpersonal communication skills
  • Working knowledge of museums and the art market
  • Proficient in Excel, Power point, Adobe
  • Flexibility to work overtime, including evening and weekends during sale and deadline periods
  • Experience with Sotheby’s systems training preferred, including Marq, SAP, CRM, Tableau, and Valuations

The proposed base salary for this position ranges from $55,000-$65,000. In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
