Overview

Solve is seeking a part-time office manager to keep our office up and running. Welcoming clients, vendors, and other visitors into the agency, managing incoming phone calls, keeping supplies stocked and maintaining the overall appearance of the agency are the core responsibilities.

This person will also be involved in arranging travel, maintaining calendars/scheduling appointments, shipping packages, and delivering mail to employees. The ideal candidate will bring high energy to our fast-paced workplace.

Solve prides itself on having a fun, creative, and collaborative environment, and we’re looking for someone to contribute to that atmosphere. Applicants must be available to work 20-25 hours per week during normal business hours (8:30 a.m. to 2 p.m. Monday, Wednesday and Thursday; 8:30 – 12:00 Tuesday and Friday).

Some of the things you'll do
    • Welcome visitors, in person or by telephone
    • Answer, screen and direct incoming phone calls, emails and voice messages to appropriate team members/departments
    • Maintain tidiness of the agency (kitchen, conference rooms, bathrooms) throughout the day
    • Update public calendars, schedule appointments and meetings as needed
    • Maintain copy/office/kitchen supplies inventory, ordering via supplier
    • Receive, sort, and distribute mail/deliveries daily
    • Provide basic troubleshooting of conference room equipment, copier and communicate repairs as needed
    • Perform clerical receptionist duties such as filing, photocopying, preparation of packages for FedEx & UPS shipping
    • Research and arrange travel and accommodations for team travel as needed
Qualifications
    • Professional attitude and appearance with a customer service attitude
    • Computer proficiency in Microsoft Office Suite (Excel, Word, etc.)
    • Hands-on experience with office equipment (e.g. phones, fax machines & printers)
    • Solid written and verbal communication skills
    • Proactive and resourceful, with ability to juggle tasks and maintain organization
    • High school degree or equivalent
    • Previous work experience as Office Manager a plus
