Sign Pro is seeking a full time Construction Project Administrator for a fast-paced office located in Plantsville, CT. Candidate must have minimum of 3 years previous construction commercial experience.
A Construction Project Administrator is someone who will work directly with project managers on and off job sites to ensure projects are transitioned to production smoothly. The Administrator will be responsible for maintaining communication and facilitating project documentation from inception to completion.
Duties and Responsibilities:
· Report to Sr. Project Manager and support Project Managers on multiple projects during all phases of construction •
· Coordinate the scheduling of meetings as needed, participate on weekly construction calls as needed and update the associated PM
· Monitor, review, download from Project Websites such as ProCore and AutoDesk
· Work with Project Managers to submit RFI’s, Submittals, Shop Drawings, complete any required logs such as Submittal Logs, PCO logs, etc.
· Must have solid working knowledge and be very familiar with ProCore Construction Software as this is the typical vehicle to submit and receive all RFI’s and Submittals, review drawings, schedules, etc.
· Assist and support financial processes such as PCOs, COs and Assist Senior PM in monthly preparation of monthly AIA billing across all contract jobs for monthly pencil requisitions
· Developing & maintaining Contract Job Tracking spreadsheets for internal review.
· Preparing written materials including correspondence, reports, procedural guides, and instructions.
· Track critical information and assist with project administration deliverables (i.e., pursue schedule updates, late RFIs and company's closeout, etc.) and follow up on action items
· Facilitate uploading of record documents related to finance and project management (e.g., invoices, PCO’s & Co’s, schedule, etc.)
· Manage project related paperwork by ensuring all necessary documents are current and properly filed and stored utilizing current SPI software
· Manage relationships and interface on a daily basis with our design team, clients and client staff on a variety of construction project related tasks
· Assist in administering punch list and project close-out activities and documents.
· Assist Project Managers in the preparation of weekly and monthly progress reports for management.
· Track and obtain approved cost change orders from clients to increase sales
· Assist with job costing reports upon the completion of each project
· Ensure that risks and potential problems are identified before they occur and take all the necessary steps to prevent them
· Be actively involved in every step of the project, from start to finish
· Provide quality control checks throughout various stages of the production cycle; check final products prior to installation or shipping
· Confer with the various people involved in the project and ensure that each finish the task assigned to him on time
· Be sure that all shop drawings are accurate and that the signs can be produced and installed as drawn
· Ensure that all landlord approval and permitting is in place before starting production on all projects in which this applies
· Understand invoicing (including construction AIA) and project close-out; assist in payment collection and provide to Contract Administrator and accounting department
Skills and Specifications:
- Leadership skills are an important requirement for persons who want to be successful as a project manager
- 2-5 years of experience required in commercial building design, construction, and construction information technologies.
- Good business contacts and vendors relationships
- Good interpersonal skills; team player
- Interaction between different types of people; for instance, from a foreman to a senior manager
- Ability to address groups of people, small or large

Compensation
Based on level of experience and commission opportunities available.

Qualifications:
- Bachelor's degree in Construction Management or related field preferred
- Proficiency in construction management software like ProCore
- Strong understanding of project management principles and practices

- Ability to work effectively in a fast-paced environment and prioritize tasks efficiently
Nice-to-have Skills:
- Knowledge of construction industry software applications
