About The Position

The Festival Materials Coordinator is responsible for managing all marketing/programming materials related to films that are screening as part of the 2024 Seattle International Film Festival. This work requires attention to detail and strong time management.
Dates of Employment: March 25th, 2024 - May 3rd, 2024 
Reports to: Festival Publications Manager

Primary Roles and Responsibilities

  • Work with accepted filmmakers to assure that all materials associated with their film are delivered to SIFF in a timely and complete manner
  • Oversee and manage gathering stills, trailers, posters, and associated materials from filmmakers, logging receipt, and dispersing to appropriate departments
  • Manage asset insertion for virtual films via our Cinesend platform
  • Coordinate with the Development department to track sponsorship materials
  • Coordinate with other departments to gather information about materials needed
  • Manage timelines and workloads to ensure deadlines for other departments are met
  • Communicate with outside vendors in relation to materials needed for the production of all publications (print/digital)
  • Organize proofing process, ensuring all protocols and approvals are met
  • Input and change content in database throughout the production process
  • Assist with additional copywriting, proofing, and updating as needed
  • Light video editing including digital snipes, image resizing, or trailer sniping

Qualifications

  • Attention to detail and strong time management, organizational, and multi-tasking skills; able to set priorities, meet deadlines and work independently
  • Ability to collaborate internally and externally, and cultivate strong relationships with a diversity of community partners, donors, and colleagues
  • Excellent oral and written communication skills
  • A positive and professional attitude with strong diplomacy skills and professionalism; this includes the ability to maintain confidentiality and discretion at all times
  • Ability to work effectively on cross-functional teams in a shared office environment
  • Proficient using Google Drive and G Suite
  • Demonstrated commitment to racial equity
  • Must be available to work evenings and weekends as needed.

● This is a temporary full-time, hourly position
● This is an FLSA overtime nonexempt position (Overtime rates are 1.5x hourly rate)

Work Environment: This contract position will work primarily onsite at our Seattle office and specified theater/s. 
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to interact with patrons and coworkers, sit and stand for extended periods, physically assist patrons when needed, and occasionally lift up to 40 pounds. SIFF is committed to the inclusion of all qualified individuals.
