Description

Shive-Hattery’s Quad Cities office has an immediate opening for a part-time administrative coordinator.

Description:

Performs administrative work within an office and group. Must be able to follow established systems and procedures requiring judgment in the selection and interpretation of data. Must be able to efficiently use company computer hardware/software in the completion of duties. Must exercise initiative, judgment, and knowledge of company practices. May do work of a confidential nature and relieve professional staff of administrative details. May also have combined duties of greeting and directing guests entering and leaving facilities, as well as handling telephone duties for incoming and outgoing calls. May perform a variety of administrative tasks of a recurring nature. Performs other duties as assigned. Works under general supervision.

The successful candidate will be responsible for:

· Greeting and directing guests, receive incoming mail, shipments, and vendor materials

· Coordinating lunches for meetings and completing meal expense reports

· Submitting invoices and receipts to OM for expense reports and payment

· Coordinating with cleaning company and other vendors for scheduling purposes, ordering supplies, and general maintenance

· Maintaining stock of office, breakroom, and cleaning supplies

· Maintaining and stocking front lobby area, conference rooms, break room, and production/printer areas

· Coordinating mailing through UPS, USPS and FedEx

· Assisting with travel reservations, as may be requested

· Maintaining petty cash and completing reports

· Coordinating office vehicles regular maintenance, reservations, and reporting.

· Other administrative duties, as needed

Requirements

Job Requirements 

· High school diploma and valid drivers license; associates degree preferred, but not required

· At least 2 years of administrative support experience in a professional environment

· Proficient in Microsoft Outlook, Word, Excel, and Teams

· Able to take direction from multiple team members with the ability to plan, communicate, and prioritize workload

· Demonstrate competency in communication, organizing, problem solving, flexibility, and adaptability in providing administrative services for a professional office.

· Part-time, in-office position will generally be 20 hours per week, normally from 10 am to 2 pm, Monday through Friday. However, the normal working schedule can be negotiated.
