Founded in 2009 by serial entrepreneur Amr Salahieh, Shifamed LLC is a privately held medical device innovation hub focused on the development of novel medical products to address clinical needs in the rapidly evolving fields of cardiology and ophthalmology.
Description
We are looking for an Office Administrator to help us maintain a secure and well-functioning work environment. In addition to the facilities responsibilities, this position will sit at the front desk and will provide administrative support to the office. This position is temp to hire.
Responsibilities, Skills & Hands-On Experience
  • Front Office/Reception responsibilities:
    • Greeting and assisting guests.
    • Receiving and transferring phone calls, and route voicemails as needed.
    • Mail sort and delivery.
    • Upkeep of front lobby area.
  • Complete purchasing activities for non-inventory items in accordance with Quality System requirements.
  • Perform shipping and receiving activities for materials and services in accordance with Company policy and Quality System requirements.
  • Distribute received items to appropriate employees/departments.
  • Support accounting with appropriate documentation for purchasing and receiving.
  • Restock office and kitchen supplies.
  • Schedule and maintain records for required safety training and be a part of our Safety Committee.
  • Conduct regular monthly/quarterly safety checks (eg., building, alarm system, fire extinguishers, etc.).
  • Point of contact for external vendors (e.g., alarm company, janitorial, document shredding, etc.)
  • Keep track of regular and ad-hoc facility expenses.
  • Back up and support activities for Facilities Manager.
  • Ensure compliance with health and safety regulations.
  • Ability to lift up to 50 pounds.
Education & Work Experience
  • HS diploma (AA degree preferred) or equivalent experience.
  • Work experience as a Facilities Coordinator or similar role a plus.
  • Word and Excel proficiency.
  • Excellent communications skills (both written and verbal) required.
  • Ability to work independently or in team setting required.
  • Familiarity with office equipment and security systems.
  • Understanding of safety regulations in offices.
  • Well-organized.
  • Sound judgement and the ability to think quickly during emergencies.
Our salary ranges are calculated by role and level. Your position within that range will be determined by your job-related knowledge, skills, experience, relevant education, and training/certifications. In addition to those factors, we also examine internal equity as well as consider current market rate, and title may be assessed one level lower or higher accordingly. After you join the company your performance, contributions, and results along with business and organizational needs will affect your base salary. The base salary range for this temp to hire position is between $58,000 to $67,000 equity benefits.
