OVERVIEW:
The Shasta-Tehama-Trinity Joint Community College District (Shasta College) sits at the northern end of the Sacramento Valley, surrounded by mountains to the north, east, and west. The area provides a wide array of outdoor amenities and activities with miles of hiking and biking trails, national parks, two lakes, and the Sacramento River. The main campus is located in the city of Redding, population 90,000. DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIES
Performs a wide variety of highly responsible technical duties and advanced administrative and office support functions. Supports operations, programs, and procedures, in the District; Employees in this classification may direct, oversee, coordinate, and review the work of student assistants and other office support staff. This job class requires the use of initiative, organizational and problem-solving skills, independent judgment in the organization, coordination, and processing of work and information through assigned office. This is a senior office professional position requiring a thorough knowledge of District policies, procedures, and regulations as applied to a specific area of assignment. This job class functions primarily as the liaison between internal and external stakeholders.
CLASSIFICATION:Range 37 on the current Classified Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.

Typical Duties, Knowledge and Ability
This role presupposes duties of Administrative Professional I and Administrative II position descriptions and includes:
Essential Functions:
  • Performs advanced level administrative professional duties, and office support functions to assist in the processing and completion of administrative operations.
  • Receives, gathers, and prepares information and materials.
  • Performs varied and responsible administrative duties to assist in the coordination and processing of routine administrative operations.
  • Prepares a wide variety of material such as interoffice communications, promotional materials, brochures, requisitions, forms, letters, reports, statistics, special projects, instructional materials, specifications, etc. from rough draft or verbal instructions and independently composes correspondence.
  • Keeps computerized records of expenditures maintaining and monitoring office and special programs, budget accounts, records, and running balances, performing necessary arithmetical computations.
  • Maintains and monitors budgetary records and departmental/office personnel records; orders supplies and processes purchase orders, as needed.
  • Acts as an information source regarding operational policies, procedures, and requirements; receiving and interviewing callers and providing information where judgment, knowledge, and interpretation of established procedures/policies are required.
  • Arranges, attends, and schedules a variety of meetings, notifying participants, confirming dates and times, reserving meeting sites, and preparing needed materials.
  • Develops professional meeting materials with direction from administrator(s) such as slides and handouts.
  • Plans, coordinates, and executes logistics for functions and events including logistics for network offerings, sourcing venues, finalizing menus and audio/visual needs with venues, gathering materials.
  • Attends meetings, takes minutes, transcribes, and distributes minutes to appropriate staff/personnel; follows up on minutes of meetings as required.
  • Maintains accurate and detailed calendar of events, deadlines, and schedules as they relate to assigned program(s) and services.
  • Compiles and updates a variety of reports and information for government agencies and other entities as requested.
  • Establishes and maintains recordkeeping and filing systems; maintains the security of confidential files and documents; maintains the security of personally identifiable information; ensures compliance with the Federal Educational Rights and Privacy Act of 1974.
  • Receives, reviews, and verifies documents, records, and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures.
  • Receives, sorts and distributes outgoing and incoming mail, prioritizing and designating appropriate response whenever possible and/or responding to correspondence as directed.
  • Makes travel arrangements.
  • Develops or assists in the development of forms, worksheets, and record keeping systems for the collection, dissemination, and maintenance of needed information for specialized programs and functions within assigned unit.
  • Assists administrator(s) in developing reports of varying complexity. Coordinates research/data requests, follows up on status, and facilitates timely completion.
  • May interview, train, and oversee the work of others in a lead capacity.
  • Performs other related duties similar to the above in scope and function as required.
Knowledge of:
  • Word processing and other computer software applications, including Microsoft Office, Excel, PowerPoint, Outlook, and Word.
  • Business English including proper grammar, punctuation, vocabulary, and spelling.
  • Basic data tracking methods and techniques.
Ability to:
  • Learn the operations, procedures, policies, and requirements of assigned office and apply them with good judgment in a variety of procedural situations.
  • Establish and maintain cooperative and effective working relationships with diverse individuals and organizations while performing assigned duties.
  • Manage time and work priorities effectively, and work under pressure successfully.
  • Promote a working environment supporting positive cooperation and shared accountability within the assigned department.
  • Demonstrate initiative, flexibility, organizational, and interpersonal skills to plan, organize, and coordinate.
  • Prioritize, direct, and coordinate workflow among clerical support staff within assigned office.
  • Accurately type at a rate required for successful job performance.
  • Perform mathematical calculations accurately.
  • Independently compose routine correspondence and prepare reports.
  • Prioritize and appropriately schedule workload or tasks to meet established deadlines.
  • Operate standard office equipment.
  • Communicate effectively orally and in writing.
Experience/Education
Education Required:
  • Associate degree or equivalent education and experience.
Experience Required:
  • Two years of increasingly responsible administrative and/or program support experience, or equivalent.
  • Demonstrated sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students, as well as staff members and students with physical and/or learning disabilities.
Experience Preferred:
  • Four years' experience in a community college, educational institution, or comparable setting, and/or equivalent.
