JOB OVERVIEW:

The Invoice and Deductions Specialist is responsible for overseeing the assigned accounts and making entries on the Accounts Receivable (AR) ledger. This will include all Open Invoices, Overpayments, Transfers, Offsets and Deductions per account.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Makes continuous and timely reviews of all accounts; screens past-due aging and directs the preparation of delinquent notices and collection communication.
• Initiates actions on Unauthorized Deductions to include reclassing and repayment from customers as applicable.
• Initiates actions on Authorized Deductions and clears deductions in compliance with Sarbanes Oxley narratives and or other office policy and procedures.
• Understands the complexities of clearing entries on AR with Sales accruals.
• Contacts customer for payment resolutions.
• Records and reconciles AR ledger to clear, reclass as appropriate.
• Works closely with various levels of Sales to resolve overdue invoices, deduction and recommends further action required for all delinquent accounts.
• Work closely with Cash Applications as needed to ensure monies are appropriately allocated per invoice per account.
• Maintains liaison with customers and coordinates work with the Customer Account Supervisor, Sr. AOC Manager, headquarters’ senior management, sales and other key team members.
• Prepares reports and statistical data and information pertaining to collection activities to report to management.
• Versatile in working with CRM to include AR comments and export reports.
• Performs related duties and responsibilities as assigned by Management.

MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

• 2 Years working with General Ledgers and or Account Receivable, preferably in a similar industry.
• 2 Year degree or equivalent experience in accounting or financial background.
• Analytical skills and detail oriented.
• Keen judgement and decision-making abilities.
• Excellent oral and written communications skills.
• Fluent in handling aging reports..
• Proficient in excel.
• EDI knowledge.
• Experience in managing AR deductions.
