Events Assistant

Position Summary

As an events assistant for the Sharon Lynne Wilson Center for the Arts, your role would involve supporting the

events team with the planning, organization, and execution of various rental events; such as weddings,

fundraisers, performances, and school functions.

Key responsibilities include, but are not limited to:

Event Coordination: The Events Assistant works closely with the internal events team, event organizers,

performers, and production teams to coordinate all aspects of the event. This includes scheduling, logistics,

and ensuring that all technical requirements are met.

Volunteer Coordination: Manage event volunteers by providing them with clear instructions and

assignments, and ensuring they have the necessary resources and support during the event. Maintain

communication with volunteers before, during, and after events to express gratitude and gather feedback.

On-site Event Support: Act as the primary Wilson Center representative during events including overseeing

setup, registration, and overall event flow. Address any issues or concerns that arise, coordinate with staff,

vendors, and volunteers to ensure a positive experience for all attendees.

Administrative Support: Perform general administrative tasks, such as managing event calendars and

checklists, maintaining databases, processing invoices, and organizing event-related documentation.

Audience Services: Providing exceptional customer service to patrons is a crucial aspect of the Event

Assistant's role. They handle patron inquiries and complaints and ensure a positive and comfortable

experience for all attendees.

  • Ability to lift bulky items weighing up to 30 lbs. and carry them 100 feet and up or down stairs
  • Ability to twist, turn, and bend body repeatedly, and to move quickly in an emergency
  • Ability to walk on sloped surfaces in the dark
  • Availability of up to 30 hours per week in a flexible schedule, which may include extended hours,

early mornings, late evenings, weekends, and holidays, depending on the calendar of

events/performances and necessary administrative/office tasks

Recommended Qualifications

  • Familiarity with the Wilson Center’s programming and audiences, as well as the Greater Milwaukee-

area arts and culture scene.

  • Experience and knowledge of Tripleseat event management software and Signup Genius online

software are helpful but not required.

  • CPR certification or the ability to become certified
  • Valid Wisconsin Bartender License (Alcohol Operator License) or the ability to become certified
