As the Administrative Assistant / Job File Coordinator you will receive phone calls and coordinate tasks related to customer calls, job monitoring, tracking, coordination and software auditing of jobs. Create preliminary estimates and job file backup. Perform general office duties, such as receiving customer phone calls throughout the day, office organization, coordination, customer interactions, drafting correspondence, filing and creating reports. Key Responsibilities
Position is highly interactive with customers - balancing multiple duties and client interactions simultaneously.
Monitoring job file status, audit status and work-in-progress.
Monitor and ensure client requirements are followed.
Review and validate initial field documentation, assist with creating preliminary estimate and daily job file coordination.
Maintain internal and external communications and job file reports.
Complete and review job file documentation for final upload and audit process.
Perform detailed and accurate data entry
Receive incoming calls about past services, follow ups on current projects, general inquiries about business and other routine communications
Collaborate and assist with other departments, as needed
Position Requirements
High school diploma/GED (preferred)
At least 2 years of customer service and/or office-related experience
Prior dispatch experience preferred
Ability to multitask and to remain detail orientated
Knowledge of local geographical area is preferred
Must be knowledgeable in relevant computer applications
MUST BE WILLING TO SERVE AS ON-CALL MANAGER after a thorough on-boarding (1 week every 4-6 weeks, receiving client calls after hours due to the nature of our 24/7 work.
Skills/Physical Demands/Competencies This is a sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to work in other departments is highly desired, possibly requiring lifting up to 50lbs and working in disaster restoration conditions. Ability to successfully complete a background check subject to applicable law. Each SERVPRO Franchise is Independently Owned and Operated.
