Job Description:
We are seeking a highly organized and proactive Administrative and Operations Coordinator to join our rapidly growing team. The ideal candidate will have strong customer service skills, the ability to communicate effectively with insurance companies and vendors, and a keen eye for managing various operational tasks. This role is essential for ensuring the smooth day-to-day operations of our business.
Key Responsibilities:
  • Customer Service: Answer phone calls and provide exceptional service to clients, addressing inquiries and resolving issues promptly.
  • Insurance and Vendor Communication: Liaise with insurance companies and vendors to manage claims, negotiations, and service agreements.
  • Safety Training: Maintain up-to-date records of safety training and ensure compliance with industry standards and regulations.
  • Vehicle Maintenance: Oversee the maintenance schedule for company vehicles, ensuring they are serviced and in good working condition.
  • Time Sheets and Time Off: Manage employee time sheets, track time off requests, and ensure accurate payroll processing.
  • Documentation and Billing: Organize and manage documentation related to billing, including collecting on outstanding invoices and maintaining accurate records.
  • Sales Orientation: Assist in sales-related activities, supporting the sales team to achieve business growth targets.
  • Computer Skills: Utilize various software applications to manage documentation, communication, and operational tasks efficiently.
Requirements:
  • Proven experience in a similar role within a fast-paced, growing business environment.
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to manage and prioritize multiple tasks effectively.
  • Knowledge of safety training and compliance requirements.
  • Experience with scheduling for vehicle maintenance is a plus.
