Job Summary
The Scheduler/receptionist will be responsible for providing support to the Operations Manager and the team in order to ensure efficient operation of the business. This position is a key member of the team and will be responsible for a variety of duties. Duties include, but are not limited to, scheduling appointments, answering phones, processing payments, and other administrative tasks. Scheduler will also be expected to provide administrative support to the Operations Manager and other team members as needed.
Essential Functions:
·Answer phones, e-mails and greet patients in a friendly manner
·Process payments using various payment methods including check, cash, credit cards, and online transactions
Maintain accurate records by entering data into our systems accurately
·Answer questions about our services and answer any questions that may arise for our staff or visitors
·Process incoming orders accurately and schedule appointments for our staff
·Maintain an organized filing system with all paperwork from each client visit or transaction
·Maintain all client files in an organized manner by filing documents in appropriate places within the appropriate system(s) and follow audit guidelines
·Maintain a clean work environment by performing regular housekeeping duties such as emptying trash, dusting surfaces, etc.
·Maintain an open communication line by receiving and promptly responding to visitor inquiries or requests. Adequate time will be given for questions after proper notification has been given.
·Provide general support to visitors in general office functions such as filing, answering phones, etc. as needed.
Liaise and coordinate with providers about schedules, patients and any changes
·Perform other related duties as assigned by management.
