Position Overview

The Clinical Support Specialist provides the first contact with Sequoia MHS. Answering phones, checking voicemails, sorting faxes, greeting guests/clients, scheduling appointments, completing record requests and maintaining a safe lobby environment are primary duties. The CSS maintains client information by ensuring client demographics are kept up to date and processing insurance co pays. Special attention is given to maintaining a professional environment, efficiency, and supporting both clinical and administrative operations.

Essential Duties and Responsibilities

  • Handling phones, mail, filing, copying, scanning, and correspondence
  • Directs flow of services in lobby/reception area, greets people, directs to appropriate staff members, asks person to wait in the lobby and notifies staff of waiting appointments.
  • Scheduling conference/interview rooms
  • Scheduling appointments as requested, including clinicians, LMPs, and clients.
  • Places reminder calls for appointments.
  • Scanning of documents into the document management system
  • Maintains the clinical information database.
  • Supporting clinical processes up to and including obtaining previous medical records, signatures, facilitate communication between primary care physicians and clinicians.
  • Retrieves archived documents as requested.
  • Completes record requests; both incoming and outgoing
  • Attends clinical trainings as needed.
  • Understanding of and ability to follow safety protocol
  • Accepts other duties as assigned.

Required Skills

  • Ability to attend to multiple tasks in a busy office environment desired.
  • Ability to use computer, fax, copier, other office equipment.
  • Recognition of triage and emergency situations
  • Commitment to work with individuals who are struggling with safe interpersonal interactions that can at times look like anger, yelling and volatile gestures.

Physical Requirements

  • Ability to meet the following physical requirements with or without reasonable accommodation:
  • Use hands to manipulate, handle, feel, and control items or equipment;
  • Walk, bend, kneel, and reach;
  • Lift a 20-60 lb.;
  • Stand and/or sit for long periods of time;
  • Talk, hear, and communicate with clients;
  • See and be able to read, write, and interpret written documents.

Job Type: Full-time

Pay: $17.50 - $20.50 per hour
