Applicants must be highly motivated team players with an ability to learn quickly. Applicants do not need to have experience working for an elected official, but rather show a sincere commitment to uplifting their community.
Duties Description
The office of New York State Senator Luis Sepúlveda is seeking an Administrative Coordinator to fill the role immediately. NYS Senator Luis Sepúlveda represents the 32nd Senatorial District, which covers large parts of the Central and South Bronx.
The Administrative Coordinator works in collaboration with staff members in both the district office and the Albany office to coordinate the Senator’s schedule and assist in the daily operation of the district office.
The duties of the Administrative Coordinator include, but are not limited to the following:
  • Planning, organizing and scheduling the Senator’s daily appointments and priorities, while anticipating any issues that may arise and identifying appropriate solutions.
  • Providing all necessary information for staffing the Senator, which include scheduling requests, briefs, reports, and any other items that may help the Senator prepare for his day.
  • Following up with all parties (high-level officials, organizations, unions, advocates, constituents) to confirm meetings, appointments, and cancellations.
  • Receiving and responding to a high-volume of emails.
  • Screening incoming calls, forwarding calls to the appropriate staffer using proper judgment, and taking complete messages when necessary.
  • Coordinating routine maintenance for the district office such as ordering and replenishing office supplies, scheduling air filter replacements, and managing contracts for cleaning services and garbage collection.
  • Staffing the Senator for special events, forums, town halls and roundtables as needed.
  • Developing and maintaining an organized database of community leaders, civic organizations, block/residential associations, advocates, lobbyists, and city/state/federal government offices and individual constituents.
  • Conducting other duties as instructed and/or necessary in order to help keep the office performing at an efficient level in a high-speed environment.
As with everyone on staff, the Administrative Coordinator will also be required to assist with local community meetings (including being assigned a community board and community precinct), staff the Senator during community events, address a range of concerns including, but not limited to issues regarding NYCHA and public housing, and conduct other duties as instructed and/or necessary in order to help keep the office performing at an efficient level in a high-speed environment.
