ROLES AND RESPONSIBILITIES

Position Title: OFFICE ADMINISTRATOR

Compensation: $24.03 per hour

Reports to: Director of Programs Management

PRINCIPAL DUTIES AND ACCOUNTABILITIES:

Administrative and Clerical Support Functions

  • Serve as Front Desk Receptionist for incoming calls and concierge person to visitors.
  • Overall management of administrative and clerical requirements in corporate office
  • Update and maintain centralized administrative and operations-related files.
  • Identify, recommend, procure, and maintain necessary office-related supplies and equipment.
  • Ensure functionality of all general office equipment, i.e., computers, printers, telephones, copiers, fax machines, internet, etc.
  • Monitor and ensure functionality of all office related utilities and amenities.
  • Initial set up of all new workstations and new cell phone.

Procurement and Logistics Support Functions

  • Manage issuance, receipt and tracking of personnel uniforms, equipment, and accessories.
  • Manage and coordinate companywide inventory.
  • Ensure all company vehicles registrations are up to date.
  • Assists with coordination of onsite new hire and uniform issuing.

Training / Credentialing Support Functions

  • Maintain training roster for all training attendees and updates training records in WinTeam
  • Generate “Certificate of Completion” for all training completed while ensuring filing of training certificates in respective employee personnel folders.
  • Ensure setup of training requirements including training materials, sign-in rosters, name plates and refreshments
  • Perform special projects in support of corporate management staff members.
  • Provide weekly report of all upcoming, current and/or completed tasks.

PERFORM OTHER RELATED DUTIES AND RESPONSIBILITIES AS ASSIGNED OR REQUIRED.

MINIMUM QUALIFICATIONS:

  • HS Diploma / 2-year college Degree (or credits) preferred
  • Candidate must have at least Two years of verifiable administrative support experience; preferably within a service environment.
  • Administrative support experience supporting a large non-exempt workforce in a 24/7, multi-shift/multi-site operation preferred.
  • Possesses superb multi-tasking ability and organizational skills.
  • Excellent verbal and written communication skills
  • Ability to function as a single-person mission support department, with minimal supervision
  • Ability to work a flexible schedule to include occasional evenings, weekends and holidays as requested or required.
  • Proficiency in Microsoft Office Suite to include MS Word, MS Excel, MS PowerPoint and MS Outlook
  • Ability to learn multiple systems and processes in a brief period, and demonstrate productivity
  • Ability to follow directions and perform multiple tasks under pressure; Tasks must be performed effectively, simultaneously, under strict deadlines and in a courteous and professional manner.
  • Must possess reliable transportation to commute to job site
  • Ability to lift items of reasonable weight associated with supplies and equipment
