Position Summary
The BAS Program Specialist position offers an exciting opportunity to be a part of a dynamic team that encourages the academic success of a diverse student population through a variety of academic-related and student support functions for South Seattle College's Hospitality Management Bachelor of Applied Science (BAS) Program. Reporting to the Dean of Math, Science, and Business, the BAS Program Specialist provides high level program administration as well as high-touch services to students. This position provides outreach services for the program both on and off campus and represents the program and Dean when necessary. Responsible for coordinating, scheduling, monitoring, and carrying out program activities, including budget monitoring, using multiple interacting systems, this position may also create and implement new policies, procedures, and standards as needed as well as assist with reporting and evaluation as needed. Working at multiple locations for student support and advising, outreach, events, and meetings may be required.
For over 50 years, South Seattle College serves approximately 15,000 students each year and is one of three colleges in the Seattle Colleges District. The College's main campus is located in West Seattle and includes the Georgetown Campus, the New Holly Learning Center, and the Harbor Island Training Center. This position is governed by a collective bargaining agreement with representation by WFSE and is subject to union shop provisions

Salary for this position is: $55,755.00 - $73,249.68 per year (DOE)

This is an on-campus, in-person role with some options for occasional remote work.
What you will be working on:
Program Management Responsibilities:
  • Provide high-touch student services such as advising, educational planning, registration assistance, tracking, graduation assistance, and connection to resources to potential and accepted BAS students.
  • Provide information and advice to students, staff, program participants and/or the public regarding program content, policies, and activities, recommend alternative courses of action; promote the program on campus with outside organizations.
  • Coordinate collection and analysis of program data in partnership with Faculty, Dean, and the Office of Institutional Effectiveness, including tracking on student enrollment, retention, completion, and employment.
  • Informally evaluate transcripts, create, and adjust student plans on an ongoing basis, and coordinate with Credentials Evaluators, Dean, and Faculty on formal evaluation of transcripts for potential, accepted, and graduating students.
  • Attend outreach events to promote the program, assist with the development of promotional materials, coordinate social media posts, and email campaigns, and maintain materials and mailing lists for events and prospects.
  • Assist with planning, preparing, and documenting program events, meetings, and programming, including the industry-led Technical Advisory Board.
  • Maintain the filing and organization of all department materials, including all program and student files to ensure that contents are complete, current, and audit-ready.
  • Coordinate annual and quarterly class scheduling information for the department, including managing faculty workload, in conjunction with Faculty Coordinators and Dean.
  • Perform other duties as assigned.
Fiscal Responsibilities:
  • Maintain detailed and accurate budget, financial and project records for multiple budgets.
  • Prepare and submit budget revisions to Dean based on budget to actual analysis.
  • Monitor, review, prepare, reconcile, and/or approve expenditure documents.
  • Prepare and manage business paperwork and processes: HR paperwork and service contracts; staffing and budget spreadsheets; monitor and reconcile salary and expenses authorized by the Dean; audit salary expense to ensure amount paid agrees with the contract; reconcile credit card; and initiate corrective action.
  • Complete purchasing and supplies paperwork, travel requisitions, and expense and service contracts and invoices; ensure control and regulatory compliance in labeling, tracking, and maintaining grant asset inventory.
  • Perform other duties as assigned.

  • Bachelor's degree.
  • Intermediate level of competence with Microsoft Office, including use of online collaboration tools.
  • Demonstrated intercultural competence, including an awareness and understanding of systemically underrepresented populations and ability to create an educational environment that affirms commitment to equity and inclusion.
  • Ability to communicate well both orally and in writing.
  • Ability to work productively as part of a team.
  • Independently research, analyze and apply rules and regulations; perform assigned duties consistent with applicable laws and procedures.
  • Ability to accurately perform multiple tasks in a timely manner in a diverse environment.
  • Ability to interpret detailed information and trouble-shoot and problem-solve.
