Salary Range: $42,857.00 - $54,478.00 depending on experience.

Overview:

As a Program Specialist II, you will be responsible for being a key member of the Enrollment Services team facilitating registration and record integrity for the entire college.

Under the supervision of the Assistant Registrar, the Program Specialist II serves as a records custodian. This position serves as a key member of the registration team, completing the following tasks:

  • Maintains student data records according to State and Federal records retention standards.
  • Helps the college adhere to FERPA privacy protection laws.
  • Completes National Student Clearinghouse enrollment and degree reporting.
  • Performs data quality review using the QARS (Quality Assurance Reporting System) and troubleshoots issues in ctcLink.
  • Works directly with faculty and instructional units on issues related to grade submissions.
  • Complete general registration functions, including support for admissions application processing and residency determinations.
  • Customer Service for students, college partners, and community members, through multiple modalities, including, in-person, virtually, via phone and email.

What you will be working on:

  • Serve as records custodian, maintain student records according to State and Federal law and policy including retention, data privacy and oversee appropriate records retention schedules.
  • Administer online grade entry and posting processes, establishing faculty timelines, training and procedures for grade entry and grade changes.
  • Work directly with instructors and faculty utilizing the grade entry system and making grade changes.
  • Collaborate with other members of the Enrollment Services team to provide excellent service to students, faculty and staff.
  • Configure ctcLink/Peoplesoft for quarterly registration and end of term processes.
  • Manage and maintain automated class waitlist system.
  • Provide training and support related to function and usage of ctcLink/PeopleSoft system for college personnel.
  • Supervise part-time hourly student and non-student workers.
  • Research and update sensitive student data following documented protocols.
  • Support general registration/records functions as needed including assistance with direct student service (front line) registration functions.

What you bring as a candidate:

  • High school diploma or equivalent and three (3) years of increasingly responsibility in a records and/or data maintenance and management role.
  • Demonstrated ability to adapt to new technology.
  • Evidence of independently organizing, prioritizing and implementing work functions.
  • Evidence of strong customer service skills with ability to respond to questions in-person, via phone, email, instant messaging system and video conferencing system.
  • Strong interest in and evidence of working with diverse and marginalized students or communities.
  • Demonstrated ability with MS Office suite of technology and information management or database systems.

Additional qualifications of highly competitive candidates (not necessary, but helpful):¿

  • Experience in a records maintenance role in higher education¿¿.
  • Experience with FERPA (Federal Educational Rights and Privacy Act) confidentially policies and Washington Administrative Code (WAC).¿¿
  • Experience with ctcLink, PeopleSoft or Oracle based information management system.¿
