Job Description:

Summary

The Primary purpose of this position is to assist the Facility Director and Facility Manager by managing the various large projects such as Help Ticket Systems, Inventory and Storage, Department/Employee moves, and support.

Primary Duties & Responsibilities

  • Help Ticket Systems
    • Fulfill and track Facility Help Tickets (FHT) utilizing the Help Ticket System.
    • Review, code and respond to Facilities Help Tickets pertaining to CrossRidge, Media-Comm campuses and warehouse property needs.
    • Follow-up on unresolved Facilities Help Tickets to determine cause of delay.
    • Close FHTs when completed personally or by others.
  • Inventory and Storage
    • Warehouse Storage Management pertaining to record retention/storage, department storage, props and office furniture
    • Manage, file, retrieve and track confidential records stored at the warehouse using the Warehouse Record Storage Help Ticket System and tracking the location, check in and check out of each container on designated spreadsheet.
    • Department Storage tracking using the Warehouse - Department Help Ticket System and a designated spreadsheet
    • Track office furniture using Excel spreadsheets
    • Manage office supplies
  • Department and Employee Moves
    • Assist the Facilities Director in department moves at the CrossRidge and Media-Comm campuses.
    • Work with IT, department managers and Facilities data coordinator for employee moves using the Facilities and IT Help Ticket System.
    • Assist department management with employee moves by assisting with furniture moves or reconfigurations and coordinating the moves with the IT Department using the Help Ticket System. Prior to employee move check and clean office and/or cubicle furniture. Provide task, desk, guest chairs and slightly used office supplies where needed.
  • Help Ticket Reporting
    • Provide Facilities and Mailroom ticket tracking reports to Facilities Director.
    • Provide usage trends and historical data based on Facilities and Mailroom Tickets sorted by category and location.
  • Provide support/backup to receptionist, mailroom operations, courier and office management:
    • Provide courier service between CrossRidge and Media-Comm buildings, post office, bank, etc.
    • Receptionist backup support consists of answering incoming calls, assisting visitors, issuing building visitor badges, scheduling conference rooms, etc.
    • Mailroom Supervisor backup support by processing outgoing mail, distributing incoming to department mailboxes and processing outgoing UPS shipments, distributing UPS and FedEx packages to department personnel, processing movie ticket sales, etc.
    • Assist or manage any special project or event as needed.
    • Other duties assigned to ensure Facilities Department responsibilities are performed.
  • Demonstrate continuous effort to improve operations:
    • Through decreased turnaround times
    • Streamline work processes
    • Work with IT on Facilities/Warehouse Help Ticket format updates
    • Work cooperatively and jointly with department members to provide quality seamless customer service.
  • SharePoint Documents
    • Review, update and upload the Facilities’ process and operational documents
    • Update departmental BCDR Plan documents twice a year
    • Read through all documents on SharePoint to make sure they are up to date
  • Attend and participate in Facilities meetings and, when requested by Director, write comprehensive feedback notes.
