Save the Children 2022 is Hiring an Administrator, Building Operations (S2) Near Washington, DC

Building Operations support Save the Children with their operation needs in our various offices. The Building Operations strategy is strongly linked to transforming the organization, aligning our day-to-day work with the broader needs of the Agency.

The Administrator, Building Operations will provide daily building operations support for the three US locations, primarily Washington, DC. You will provide front line, customer facing support services in areas such as mail, security, reception, office moves, office equipment, etc.

 What You’ll Be Doing (Essential Duties)

Building Operations Support (40%) 

  • Provide support for all SCUS events (set-up of conference rooms, clean-up, coordination) and maintain an overall neat and organized appearance of the SCUS office space and conference rooms.
  • Complete assigned Building Operations Helpdesk tickets.
  • Assist staff with minor office/cubicle configuration and/or set up and departmental office moves.
  • Work with the building landlord to ensure all forms are properly filed for staff (gym usage, booking 999 conference room and parking) and serve as liaison on larger repairs/maintenance (HVAC, lighting, electrical).
  • Troubleshoot and maintain office equipment and work with external vendors as necessary (water coolers, refrigerators).
  • Coordinate with in-house cafeteria vendor/employee lounge to ensure employee satisfaction.
  • Maintain Building Operations intranet page.

Purchasing (30%)

  • Manage Purchasing Queue and fulfill and respond to all purchasing requests and related inquiries in ServiceNow.
  • Maintain and update all communications into the ServiceNow ticket.
  • Create and maintain a relationship with vendor(s).
  • Track incoming orders to ensure proper receipt.
  • Review vendor invoicing and process promptly for payment.
  • Manage requests/cancellations for mobile technology equipment such as phone, iPad, and hot spots.
  • Process returns and ensure expected refunds are received in a timely matter.

Front Desk/Security Support (30%)

  • Answer and direct incoming calls for the CT, KY and Washington, DC offices in a timely manner, assisting staff with locating headquarters staff quickly, and with a high degree of customer service, particularly in instances of emergencies or resolving other urgent issues.
  • Work with Donor Services with communications to trouble shoot calls from donors when needed.
  • Make announcements using the telecommunication system as needed.
  • Meet and greet visitors/vendors, coordinating reception desk coverage for lunch, breaks, vacations, and other absences, establishing a daily reception schedule.
  • Train staff on the phone system and reception desk protocol as appropriate.
  • Regularly sort, distribute and process incoming/outgoing mail and packages, and provide administrative support to staff for UPS online shipping.
  • Maintain and update telephone database and department contact list.
  • Maintain Building Operations supplies (mailroom, office, facilities).
  • Lead and assist DC staff with fire marshal activity including fire drills and alarms.
  • Monitor/maintain building key fob system and security cameras.
  • Prepare and issue staff travel ID’s.

Required Qualifications

  • Minimum of a High School Diploma or equivalent, plus at least 1 year of relevant experience or education
  • Demonstrated ability to lift packages/office equipment (approximately 40-70lbs) on a daily basis.
  • Demonstrated customer service experience.
  • Professional proficiency in MS Office suite
  • Professional proficiency in spoken and written English
  • Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally
  • Demonstrated commitment to fostering and maintaining and environment of diversity, inclusion, and belonging.

Preferred Qualifications

  • Experience with SharePoint
  • Knowledge of postal and stockroom equipment

Compensation

Save the Children is offering the following salary ranges for this position, dependent on candidate location:

  • Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target hourly pay for this position is $22.07 – $24.66
  • Geo 2 - Locations around the US National Labor Cost Average: Target hourly pay for this position is $20.02 – $22.38
  • Geo 3 - Locations significantly below the US National Labor Cost Average: Target hourly pay for this position is $17.98 – $20.10

Actual base salary may vary based upon, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here). Employee may be eligible for an incentive program. Save the Children also offers paid vacation, accrued at least 12 days a year, depending on paygrade and length of service, paid safety and wellness leave of at least 1 day per month worked for a full time employee which is pro rata reduced for employees working less than a full time schedule, and at least 10 paid holidays a year. Employees may be eligible for additional bonus compensation.
