Description:

Sargent & Lundy is seeking a full-time Enterprise Content Management (ECM) Specialist to join our team! The ECM Specialist will help support S&L ECM processes and systems as a self-motivated and organizaed professional in a fast-paced environment.

This role consists of a range of entry to intermediate system security administration, Document Management System (DMS) advanced data and utility administration and support, record litigation support and business process support, as well as the basic understanding of records management best practices for the purpose of requirement analysis for DMS workspaces and business process workflow solutions.

System Security Administration

Utilizes security access utilities to add and remove permissions in multiple DMS systems.

Record Management and Governance

Controls and manages the lifecycle of business-critical content including collection, disposition, and destruction based on retention policies and compliance with S&L Policies, Instructions, Guidelines and Standards (PIGS), and national, state and local legal requirements. Includes (but not limited to):

  • Providing support for identifying, classifying, prioritizing, storing, securing, archiving, preserving, retrieving, tracking, and destroying of records including search and discovery of records meeting litigation requirement criteria involving filtering, tagging and capturing of record inventories.
  • Performing audits using search and collection in order to review and evaluate whether Records Management standards/policies and processes/procedures have been adhered to.
  • Facilitating and assisting users in following S&L ECM PIGS and processes and best practices including complying with record retention schedules and project management procedures.
  • Assisting in the creation, editing and maintenance of S&L published ECM PIGS and processes.

Electronic Storage Management

Provides end user support in capturing, managing, storing, preserving, and delivering content for various S&L data storage resources such as the Document Management Systems (DMS), Microsoft file shares, design applications and other resources. Includes (but not limited to):

  • Manipulation of content (deleting, loading, moving, etc.) by utilizing bulk tools.
  • DMS administration and maintenance such as data export and/or import, property manipulation, metric reporting, and database cleanup activities. Such activities support large project needs such as data migration between systems and project deliverable support.
  • DMS user support during normal business hours and extended hours when upgrades and production changes are scheduled.
  • User functionality and regression testing during configuration and software upgrades.

ECM Learning Support

  • Daily user support and error troubleshooting.
  • Content development and delivery of Communities of Practice (COP), Training Job Aids and Training Lab presentations.
  • Content development and distribution of user communications for migration project updates, and system and process upgrades/changes.

Business Analysis

  • Conducts user requirement analysis for the purpose of understanding business process support of records in order to perform record classification used for record workspace taxonomy development.
  • Prepares user presentations for record classification and retention negotiation and agreement of business record workspace design and functionality.
Qualifications:

A BS degree in Business Administration or Computer Science/Computer Information Systems or comparable degree is preferred. Alternatively, a combination of relevant coursework and work experience would be acceptable.

Essential skills and experience:

  • Web based enterprise DMS environments and functionality including access control, check in/out, versioning, metadata, search, and a basic understanding of DMS database design.
  • Records management best practices including record retention schedules, folder vs. metadata taxonomies and destruction processing, as well as, record classification.
  • Intermediate to advanced expertise in MS Office, especially Excel, Access, PowerPoint and Word.
  • Business analysis skills such as interviewing stakeholders to understand business processes and activities, security requirements, weaknesses and identifying opportunities.
  • Facilitation of discussions to determine goals and establish priorities and an understanding of potential efficiency gains that may be realized by implementing electronic process solutions.
  • Data bulk loading and manipulation using CSV, XML and/or vendor or custom developed tools.
  • User functionality and regression testing.
  • Strong problem solving, collaborative and verbal/written communication skills with the desire to work in teams of highly motivated individuals.

Preferred experience with:

  • Project administration experience in Egnyte and/or ShareFile DMS systems.
  • DMS administration and maintenance such as security audit reporting and other database cleanup activities.
  • Business Analysis with identification of business/user requirements and processes and application of process automation tools to enhance productivity with a priority focus on efficiency and business objectives.
  • Experience working in an environment involving engineering drawings and other technical documents would be a significant plus.
  • Training plan development.
  • Compiling metrics, presentation development and reporting.
  • Business process maps and agreements, regression test plans, MS Project plans, status and issue reporting.
