POSITION TITLE: Administrative Assistant – Middle School

REPORTS TO: Building Principal

QUALIFICATIONS:

• High school diploma required.

• Bilingual English and Spanish 

• Strong computer skills 

• Effective interpersonal and organizational skills.

• Ability to lift 40 pounds to shoulder height occasionally.

ESSENTIAL JOB FUNCTIONS:

1. Greet and direct visitors in the building.
2. Help with communication between administration, teachers and parents.

3. Prepare and enter purchase requisitions and purchase orders; checks shipment deliveries.

4. Open, sort and distribute interoffice and regular mail.

5. Prepare items for teacher orientation and teacher handbook.

6. Monitor building use reports for scheduling, activity conflicts, etc.

7. Assist with preparation of Registration, Parent Orientation and Parent/Teacher Conferences.

8. Maintain school calendar; coordinate schedule for school assemblies and programs.

9. Answer telephones and route calls to appropriate personnel.

OTHER JOB RESPONSIBILITIES:

1. Compose and type confidential and general correspondence, reports, memorandums, forms, statistical data, etc.

2. Prepare and send written parent notifications and appropriate bulk mail postage.

3. Assist in preparation of building Crisis Response Manual and staff emergency phone list.

4. Maintain supervisor’s calendar as requested.

5. Attend meetings and trainings as required.

6. Demonstrates effective human relations and communication skills.
