Position Purpose
Designed to reflect the distinctive strengths of the University and Silicon Valley location, Santa Clara's pre-college programs introduce high school students to new fields of interest and study while giving them the opportunity to sample the college experience prior to college. The Program Manager plays a vital role in the planning and implementation of the Young Scholars Program for high school students. The Program Manager will take the lead in building out the residential component and will help develop all future programming. The Program Manager will work the Director of Summer Sessions, faculty, staff, administration, and units across the university, as well as external partners to identify strategic opportunities to design and implement new programs, which include commuter and residential, credit and non-credit courses that will achieve strong enrollments by responding to the needs of pre-college students.
Additionally, the Program Manager supports the structure, direction, services, and programs of Summer Sessions. The Program Manager assists the Director with overseeing strategic planning, assessment, and relationship building with campus partners while also serving as an advocate, advisor, and mentor to students. The Program Manager plays a key role in promoting opportunities and experiences to develop student leaders and engage students in co-curricular activities.
Duties and Responsibilities
Oversees daily operations of pre-college programs and help design and implement workflow process for student recruitment and enrollment, with an emphasis on application development and review, marketing and communications strategy and materials, admissions processing, and reporting and analysis
Coordinates off-campus field trips
Advises students on academics and other program related matters
Provides recommendations regarding disciplinary sanctions of a student or refers cases to the Director
Ensures all pre-college initiatives comply with Santa Clara rules, policies, and procedures
Promotes pre-college programs through attendance at high school fairs, conferences and other marketing engagements
Collaborates with Santa Clara departments, faculty, and staff to identify, promote, and offer pre-college programming in response to trends in the educational landscape
Serves as primary liaison for all student and/or parent/guardian concerns arising out of pre-college programming and responds accordingly
Hires, trains, supervises and evaluates Santa Clara's pre-college residential staff. This involves the recruitment and hiring of approximately 20 Community Facilitators (RAs) and collaborates with Office of Residence Life and Housing to support students and staff members
Shares the on-call responsibilities for emergency and non-emergency situations for the pre-college staff, faculty, students and their families which requires living on-campus during the pre-college residential staff training and program dates
Organizes the planning and coordination of over thirty co-curricular and social events
Coordinates the hiring, onboarding processing, and training for all seasonal hires in collaboration with the Director
Collaborates with the Director to manage and monitor the Young Scholars budget
Manages the reservation and use of campus space to support the program
Research trends and best practices related to and issues pertaining to areas of responsibility.

Recommends initiatives and implements changes to improve quality and services. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices. Maintains contact with customers and solicits feedback for improved services. Maximizes productivity through use of appropriate tools; planned training and performance initiatives. Researches and develops resources that create timely and efficient workflow. Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions. Prepares and submits reports as requested and required. Develops and implements guidelines to support the functions of the unit.
Minimum Qualifications
Knowledge
Familiarity with and commitment to the mission, goals, and vision of Jesuit education
Experience working with high school or undergraduate students required; residential pre-college programming for high school students or directing an undergraduate residence hall preferred
Demonstrated experience in the development, planning, marketing, execution and evaluation of academic programming and in the supervision of traditional, online, and hybrid methods of curriculum delivery
Skills
Ability to use email, social media platforms, survey analysis tools, and various digital tools and applications
Demonstrated ability to collect and analyze key enrollment and student learning data
Demonstrated experience developing and executing budgets and recruitment plans
Demonstrated experience with content management systems; proficiency in Microsoft Office programs; knowledge and understanding of student information systems in a university setting
Ability to establish and maintain effective working relationships with multiple constituents; excellent interpersonal skills, including effective oral and written communication
Excellent time management, organization, and ability to see assigned tasks through to completion; ability to effectively manage multiple projects and respond to complex and varied demands
Abilities
Ability to work flexible hours, sprint periods, and being on-call for emergency operating issues
Ability to work independently and exercise sound judgment
Ability to handle confidential information appropriately according to state and federal laws, as well as campus procedures
Education
A Bachelor's degree is required; a Master's degree is preferred
Years of Experience
3-5 years in related field with upto 2 years in administrative role, preferably in the higher education environment
