JOB DESCRIPTION

DIRECTOR OF OPERATIONS

The Administrative Associate is responsible for working directly in an administrative support role. This position also provides front counter support including, but not limited to scheduling, answering phones, organizing emails, taking messages, directing calls, coordinating general school office operations, and greeting and attending to school visitors, school staff, and student requests..

Responsible for oversight of office staff, accountability reports, payroll, accounts payable & receivable, facility rental and human resources. Must also be strong in record maintenance, bookkeeping, operating standard office equipment, and computer software.

  • Requires knowledge of general school office or a professional office environment.
  • Requires knowledge of technology in the areas of office software, electronic communication, database systems, word processing, spreadsheets, and office equipment operation; i.e., phones, fax, and copier.

  • Requires strong service-related people skills and problem solving skills as this position is generally the first contact and has significant responsibility in representing the school.
  • Requires strong verbal and written communication skills due to interaction with the general public, school personnel, state agencies, and other agencies on a regular basis.

  • Requires strong organizational skills to balance demands of a multi-tasking position.
  • Requires strong technology skills in the areas of office software, electronic communication, database systems, word processing, spreadsheets, and office equipment operation; i.e., phones, fax, and copier.
  • Requires extraordinary attention to detail and follow through to meet deadlines and commitments.
  • Requires conscientious attention to detail and commitment to accuracy in all areas.
  • Requires significant confidentiality responsibilities due to parent, student, and staff issues.
  • Requires adhering to district and school policy, rules, and regulations.
  • Requires adhering to all state and federal laws, rules, and regulations.
  • Must demonstrate punctuality, good attendance, and strong work ethics in all areas.

RESPONSIBILITIES
The responsibilities of the Administrative Associate are, but not limited to, the following:

Scheduling

  • Maintain Head of School and Assistant Head of School’s calendar with appointments and meetings.

Organizing

Serve as a liaison between administration, school staff, parents, and students to:

  • Answer incoming phone calls, take message, and direct calls as appropriate
  • Welcome and process new and current students: transportation, intake meetings, etc.
  • Maintain employee records: on campus staffing, homebound teachers, and program staff
  • Maintain student files: rosters, attendance, service minutes, parent identification, transportation requests by entering information into all school portals (PowerSchool, placement, etc.), including Kaleidoscope requests and assignments
  • Maintain internal bulletin board with upcoming events
  • Coordinate general office operations as needed or required, specifically typing, proofreading, copying, distributing, and filing correspondence

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to effectively present information in one-on-one, small group, and large group situations.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

REQUIREMENTS

High school diploma or GED; supplemented by minimum two (2) years previous experience and/or training that includes secretarial or clerical work, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Bilingual: Spanish-speaking, a plus
