San Diego State University Research Foundation is Hiring an Admin Support Assistant II Near San Diego, CA

Overview:

The salary range for this position is $18.00 - $23.00 per hour depending upon qualifications and is non-negotiable.

The position will be filled at 30-40 hours per week and is benefit elegible.

Prison Arts Collective (PAC) works to expand access to the transformative power of the arts through collaboration and mutual learning that supports the development of self-expression, reflection, communication, and empathy through providing multidisciplinary arts programming in correctional institutions. PAC currently facilitates weekly multidisciplinary arts programming and art facilitator training programs in 12 prisons throughout California. PAC is based at San Diego State University and has partnerships with California State University, Fullerton; Humboldt State University, and California State University, San Bernardino.

Reporting to the Administrative Analyst the Program Assistant will provide support in the areas of program administration and day-to-day operations. The position will have both internal and external responsibilities, including being the main point of contact for the PAC room on campus, coordinating with team and stakeholders to schedule meetings and events, supporting program staff with administrative paperwork such as POs and reimbursement forms, and helping with orientations for interns and new volunteers. This position is an administrative support assistant.

Responsibilities:

Key Responsibilities 95%

Operations

  • General administrative support for PAC leadership team.
  • Maintain open office hours Monday - Thursday and a welcoming space for PAC room on campus.
  • Maintain the PAC calendar and ensure that it is up to date with all courses, events, meetings, and office staff schedules.
  • Maintain PAC contacts and roles and ensure that all information for team is correct and updated.
  • Coordinate with SDSU to ensure that technology, equipment, and other needs are met in the PAC room.
  • Assist team members with software/app issues by troubleshooting or escalating to SDSU IT specialist.
  • Update and maintain art and office supply inventory; anticipate needs based on google calendar and programming timelines.
  • Place supply orders with Administrative Analysts approval.
  • Support staff and program with administrative forms including travel, invoices, POs, reimbursements, and supply requests.
  • Assist teaching staff in printing, scanning, uploading, mailing programming materials as needed.
  • Ensure that research forms are handled and stored appropriately under guidance of PI and research team.
  • Prep PAC office for group meetings and visitors as needed.
  • Assist Administrative Analyst in preparing reports as needed.
  • Monitor PAC general inboxes and office phone daily, forwarding inquiries to appropriate team members and ensuring they are addressed in a timely manner.

Programs and Events

  • Support the marketing and communications team in the management of events both in the PAC room and in the community.
  • Provide support to Communications lead in creating social media posts, class fliers, and other communications materials.
  • Provide input and support for student interns on special projects for the program.

Human Resources and Staff Support

  • Support staff and volunteers in understanding and implementing policies and procedures related to timesheets, reimbursements, travel, invoices, and other areas.
  • Support the hiring process of new staff as needed including scheduling interviews, guiding candidates through the hiring process, and facilitating or hosting PAC orientations.

Other Duties as assigned (5%)

Qualifications:

Minimum Education

  • High school diploma or equivalent

Minimum Experience

  • Previous experience in an office or administrative environment

Preferred Qualifications

  • 2 years of experience working in an office, preferably within a university and/or non-profit, or similar experience.
  • Experience with Adobe office products, such as Adobe sign, pdf viewer and editor.
  • Experience with google suite preferred.
  • Generally tech/app savvy and/or eager to learn.
  • Willingness to collaborate effectively with a small, but active team.
  • Must be resourceful, patient, flexible, detail-oriented, proactive and solution-oriented.
  • Must be able to work independently on day to day tasks and with minimal supervision on projects.
