Hiring Range = $21.50 - 23.30\hour


FLSA Status: Non-Exempt

Medical Records Supervisor General Description

This position is responsible for overseeing the Health Information Management department. The Medical Records Supervisor is responsible for the maintenance of medical records and chart organization. This position ensures all HIM employees abide the organization’s general policies and rules of conduct as outlined in the employee handbook and individual policy and procedures.

Medical Records Supervisor Essential Duties

  • Process medical records releases for both incoming and outgoing records.
  • Generate missing after hours report and notify doctors daily.
  • Supervise the medical records department employees.
  • Send after hours documentation directions to providers on call weekly on Friday per Qgenda schedule.
  • Responsible for performing quarterly chart audits for medical charts.
  • Download Children’s Mercy reports at least twice weekly.
  • Responsible for performing miscellaneous reports as required, including but not limited to PCMH / NCQA /chart audits.
  • Serve as a back-up for the telephone operator and answers phone as necessary.
  • Serve as a back-up for HIM clerks to include process courier mail, scan documents into electronic medical record.
  • Maintain nursing home list.
  • Maintain dismissed patient list/dismissal letters.
  • Process unconfirmed transfers/dual provider letters as needed.
  • Perform other duties as assigned.

Medical Records Supervisor Skills Required

  • Ability to establish and maintain effective working relationships with staff, patients, and the public.
  • Knowledge of HIPAA privacy rules and regulations.
  • Knowledge and experience with Microsoft Word, Excel Spreadsheets, Windows, databases, and graphs.
  • Excellent interpersonal, verbal, and written communication
  • Excellent customer service skills and ability to effectively and respectfully interact with unsatisfied patients and coworkers.
  • Effective and efficient time management.
  • Ability to work independently and use good judgement.
  • Knowledge of standard office machines including copier, fax, multi-line phones, printers, scanners.

Medical Records Supervisor Required Education and Experience

  • High School Diploma;
  • A minimum of two (2) years experience in a medical office environment;
  • Social and cultural sensitivity appropriate to ethnically and economically diverse patient and employee-base.

Medical Records Supervisor Preferred Education and Experience

  • Associate’s degree in Health Information Management, Business Administration, Public Health, or related-degree;
  • Two years’ supervisory experience or demonstration of equivalent leadership experience;
  • Registered Health Information Technician (RHIT).
