Advanced Learning Programs and Services Coordinator

Job Description

Reports To: Assistant Director of Student Services (or designee)

FLSA Status: Exempt

School Classification: Certificated

Pay Schedule: Range 14 ($104,328-$135,000)

Work Schedule: 215 days/12 months

Location: Onsite and Remote Office

Position Summary: The advanced learning programs and services coordinator supports the students services department by implementing, and maintaining the advanced learning programs for all Sage Oak students.

Essential Duties and Responsibilities

Overarching Duties and Abilities for All Sage Oak Coordinators:

Advanced/Gifted Learner Program:

  • Develops and implements educational opportunities that fulfill the requirements of an advanced learner/gifted program

  • Plans a program of study that meets the individual needs, interests, and abilities of advanced students based on the school’s goals and objectives

  • Employs a variety of instructional techniques and media which meet the needs and capabilities of advanced/gifted students

  • Works cooperatively with teachers to address advanced/gifted student's needs and in developing and providing advanced/gifted students with enriched or alternative course work through curriculum modification, compacting, etc. to promote high achievement

  • Develops professional development plans for teachers and/or administration, if applicable

  • Assists in the coordination and facilitates advanced/gifted student parent meetings/trainings

  • Communicates with colleagues, the community, and parents on a regular basis the events, opportunities, and successes of the advanced learner/gifted program

  • Plans, implements, evaluates, and supports all advanced learner/gifted services and assessments, including the talented nomination and identification process, adapting curriculum and differentiated lesson plans, review of student data, and all related meetings

  • Conducts routine audits of the advanced learner/gifted program

  • Serves as an advocate for the needs of advanced/gifted students in a professional and appropriate manner.

  • Creates and implements academic learning networks for advanced/gifted students that allows for peer to peer interaction and academic advancement.

Advanced Learning Duties:

  • Maintains and updates advanced placement (AP) course ledger

  • Maintains and updates University of California (UC) course list

  • Ensures upload of Eligibility in the Local Context to UC

  • Attends annual UC conferences and community college counselor webinars

  • Maintains and updates master course list in the Student Information System (SIS)

  • Adds courses as needed to the master course list in the Student Information System (SIS)

  • Creates accelerated pathways through various means for students, including, but not limited to, early community college enrollment, completing and Associates degree while enrolled in Sage Oak, and educate parents on the various pathways

  • Plans and hosts informational meetings for concurrent enrollment students and parents.

  • Approves concurrent enrollment applications for students in the advanced pathway

  • Plans and facilitate the Sage Oak Extension (SOX) course

  • Coordinates and facilitates partnerships with community colleges

  • Plans, facilitates and maintains the qualification and acceptance to the National Junior Honor Society and National Honor Society for middle school and high school students

  • Plans and hosts webinars from the National Junior Honor Society and National Honor Society

  • Distributes monthly newsletters to members of the National Junior Honor Society and National Honor Society

  • Track data on honor and advanced high school students throughout high school.

  • Collaborates with other Sage Oak employees regarding teaching courses geared towards advanced/gifted students

  • Collaborates with other Sage Oak employees regarding community- based learning experiences geared towards advanced/gifted students.

Other Duties

  • Responds to non-urgent communication within 24 school hours and urgent communication within two school hours

  • Resolves escalated employee, parent, and student issues in alignment with core values and ensuring compliance with the school’s Uniform Complaint Policy; the school’s Uniform Technology Policy; and the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act)

  • Performs other duties as assigned

Qualifications Guide

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education & Experience:

  • A valid, current, and appropriate California state teaching credential and an administrative services credential desired. A copy of teaching credential to be provided and kept current.

  • Gifted and Talented Education certification required

  • College Advising certification required

  • Two or more years in the Teacher/Educational Advisor position

  • Two or more years in a coordinator or equivalent position desired

Other Qualifications:

  • State and federal fingerprint clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received and the Human Resources Manager notifying the immediate supervisor of this clearance.

  • Proof of a clear TB Tine test or signed Certificate of Completion dated within the last 60 days (Ed. Code 49406) upon employment and thereafter updated every four years

  • Hold and maintain a valid California Driver’s License, proof of automobile insurance, and full time use of a dependable automobile that is insured pursuant to California regulations.

Knowledge:

  • Computer and technology literacy: Operate office equipment including a calculator, copier, fax machine, computer and assigned software.

  • Google docs, Google spreadsheets and other online collaboration tools to send and receive information

  • Basic arithmetic calculations

  • Laws that pertain to department

  • Teaching strategies for gifted and talented students

  • Basics of a GATE program
