Administrative Medical Assistant / Licensed Practical Nurse / Registered Nurse

Medical office located at 1169 N Main Street in Bluffton is hiring a full-time Administrative MA/Nurse. We are a small, close-knit team with one physician.

The Administrative MA/Nurse (LPN/RN) functions in an administrative support role to assist the physician and practice manager in practice efficiency with successful completion of daily administrative tasks. This position also functions in a clinical support role to assist the physician to ensure the delivery of quality health care services. The position is a member of the team and works diligently with other staff members to contribute to the overall success and growth of the practice. This position reports to the Practice Manager.

- Office Hours: Monday – Thursday 7:45 a.m. – 4:15 p.m.

RESPONSIBILITIES

Administrative:

1. Timely and successful completion of prior-authorizations with insurance companies for medications, procedures, imaging studies, and office visits. Follow-up on uncompleted tasks is mandatory.

2. Accurate ordering of medications, imaging studies, and lab tests as ordered by the physician.

3. Review of all new referrals, imaging study results, laboratory testing results, and outside specialist consultations before close of day.

4. Although most records are electronic, daily maintenance of paper charts and other paper medical records.

5. Analysis of patient medication use, assessment of patient issues, and preparation for upcoming patient visits.

6. Manage interactions with vendors, sales representatives, and the staff at other physician offices. Experience and professionalism working with these outside resources is required.

7. Oversee service providers for hazardous waste disposal.

8. Maintain MSDS records.

9. Manage compliance and staff training in CPR, BBP, etc.

10. Attentive to areas of compliance such as HIPAA and OSHA.

11. Perform clerical needs including record keeping, data entry, filing, copying, scanning, faxing, and shredding. Computer competence required.

Patient interaction:

1. Respond to all patient phone calls before close of day.

2. Interact with patients in the clinic as necessary.

Responsibilities at times will include covering some or all of the duties of the clinical medical assistant:

1. Rooming patients, checking vitals, entering data into EHR, verifying MIPS completion, handling of laboratory specimens, assisting the physician in procedures.

2. Maintenance of the office as a safe, clean, sanitized, efficient, professional and pleasant environment for our patients and staff.

3. Preparing charts for following day.

REQUIREMENTS AND EXPERIENCE

Organizational skills, attention to detail, accuracy, and professionalism are required. Tasks must be followed through to timely completion. Compassion for our patients and at times, firmness, is required as well. The position requires handling sometimes difficult conversations with patients. A very high level of computer and technology skills is required, as EHR/PM software, internet search, website portals, and MS Office application use are daily tasks.

- EHR experience, NextGen experience preferred but will train.

- Computer proficiency, Microsoft applications including Outlook.

- Detail-oriented.

- Willingness to subject to a urine drug screen before hire and if designated after hire.

- Demonstrated knowledge of Surgical Asepsis, Universal Precautions, OSHA standards, HIPAA.

- Interact directly with patients and the public with confidentiality, courtesy, and professionalism.

- Confident, well-spoken, professional, and neat in appearance.

- Conducts self in every personal and professional circumstance with adherence to the highest ethical standards.
