Hours: Mon – Fri, 8am – 5pm

Pay: $20 to $22 per hour depending on experience

Location: San Antonio, TX; in office – some travel required

In the U.S. and abroad, hunters are part of a system that keeps the rivers, forests and fields intact and maintains the wildlife.

Summary

This position is responsible for providing administrative and sales support to the Director of Sales and the department of Advertising Sales. Assists in achieving Sales Department goals by helping to promote mission accomplishments and help enhance revenue production. Will also assist advertisers in preparing advertising materials and billing for advertising sold.

All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.

Responsibilities

  • Schedules appointments, conference calls, manages, and updates calendar, for supervisor. Keeps detailed notes and acts as a liaison between Ad Sales and other SCI departments.
  • Manages/coordination of the fulfillments of all Corporate Sponsorships. This includes preparation of contracts, requests for updated contact information, verification of accuracy of deliverables as presented to other SCI departments for fulfillments, maintains a database of sales fulfillments and verifies fulfillment with sponsors.
  • Maintains a current list of all Corporate Sponsors with levels, renewal dates and details as needed.
  • Works with Ad Sales Team and other SCI departments in identifying additional sources of revenue.
  • In preparation for SCI Convention: Attends, organizes, and assists with all Corporate Sponsorship meetings for the SCI Convention. Maintains the schedule, invitations for sponsors and potential sponsors, oversees the meeting room location and setup to include refreshments, signage, wi-fi, A/V if needed, and coordinate details as needed with other departments. Serves as the main contact to assist sponsors during setup, registration and during the duration of the event. This is to provide the ultimate in client service to our sponsors.
  • Organizes sales team meetings as needed and requested. Serves as secondary contact for Sales team for check in and general questions.
  • Administers contract management, related to corporate sponsorships, licensees and others as needed, from signature to processing for execution. Once the executed agreement is received through outlined processes will distribute copies of agreement to all departments as needed.
  • Monitors corporate sponsor payment schedule with the accounting department and files and maintains tracking reports.
  • Generates the Corporate Sponsorship fiscal year cost of fulfillment per sponsors for accounting department.
  • Processes all sales orders into the current account system for billing of Publications and other orders as needed.
  • Process and tracks internal transfers from sponsorships to departments as needed.
  • Manages the vendor relationships for listings, artwork, ads and copy for the various media.
  • Assists in other sales and communications-related tasks, including the processing and tracking of advertising elements of various media as needed. Schedules all incoming requests for e-newsletter issues to be contracted.
  • Tracks editorial/advertorial content that supports ads/sponsorships and routes materials to appropriate staff.
  • Writes and files insertion orders for advertisers placing advertisements in Safari Magazine or Safari Times. Reviews insertion orders to verify that correct rates, production fees and discounts are applied for each client.
  • Serves as the travel coordinator for sales team as needed.
  • Perform other related duties as assigned. Attends meetings, conventions, trade shows, and other events as appropriate.

Qualifications

  • The position requires a High School diploma and 3 - 5 years of experience in marketing or sales.
  • Prior sales and publications experience preferred
  • Prior Salesforce experience preferred
  • Valid driver’s license with ability to be insurable on SCI policy
  • Problem solving skills
  • Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.
  • Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
