Safari Club International is Hiring a Membership Services Manager Near San Antonio, TX

Position: Membership Services Manager

Hours: Mon – Fri, 8am – 5pm in office (remote work not available)

Location: San Antonio, TX; some travel required

Safari Club International is a U.S.-based organization of more than 50,000 hunters and nearly 200 chapters worldwide, dedicated to protecting the right to hunt and to promote wildlife conservation. Between SCI and its sister organization, the SCI Foundation, we have put more than $70 Million on the ground for conservation since 2000. In the U.S. and abroad, hunters are part of a system that keeps the rivers, forests and fields intact and maintains the wildlife.

Summary

This position is responsible for providing support to the Membership and Chapter Services Department along with quality and efficient customer service. This includes but is not limited too; members, chapters, staff and SCI functions. The Membership Manager is responsible for the daily management and training of the Membership Services department include motivating, recognizing, coaching, training, problem solving and handling escalations. Oversees and assists with all processes and functions related to membership and chapter payments, entering new and updated member information. Ensures compliance with internal procedures and controls.

All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.

Responsibilities

  • Oversees and assists in the processing of membership dues, invoices, tracking memberships, data collection analysis and interpretation, including processing ID cards, new member packets, promotions, chapter and member fulfillment, departmental procedures. Oversees the SCI-PAC donations received through membership renewals, reconciles and reports to the Accounting Department. Works with Finance and IT to resolve issues.
  • Provides necessary information for preparation of the departmental budget. Makes recommendations which will optimize expenditures. Allocates financial resources and controls expenses throughout the year.
  • Responsible for reviewing, verifying, and reporting on department numbers and overrides.
  • Works with the Information Technology Department to maintain membership database, create and update reports, and monitor web orders and promotions. Generates a variety of membership reports to include daily, weekly, monthly, and ad hoc reports.
  • Oversees inventory of stock for membership fulfillment, promotions and payment fulfillment and orders stock when necessary. Works with vendors, proofs, and approval of printing membership items.
  • Prepares for and attends annual convention. Will train temporary convention staff on membership processing. Oversees VIP transactions and all activities of the Membership/Life/Chapter Services booth.
  • Ensures department has appropriate brand materials, numbers listed, and working spaces are maintained. Both onsite and any temporary office location.
  • Provides support to Chapters and Chapter Services Specialists as requested by Director.
  • Manages support staff; interviews, makes hiring recommendations, orients/trains employees, plans, assigns, and directs work. In partnership with Human Resources and supervisor, offers counsel on employee’s disciplinary and performance issues. Addresses employee recognition, and standard complaints and concerns
  • Supports an open communication culture. Conduct regular team meetings; continually update team on current goals and best practices, answer questions, and help team with issues. Communicates departmental/procedural updates.
  • Monitor, evaluate, and document team and individual performance including quality of work and compliance; set clear expectations, goals and deadlines for individual’s work. Motivate team members by recognizing high performance.
  • Ensures training standards for all new hires are met.
  • Perform other related duties as assigned. Attends meetings, other conventions, and trade shows as appropriate to maintain professional contacts and/or represent SCI.

Qualifications

  • The position requires a High School Diploma, Associates Degree preferred
  • 4 - 5 years of Data Entry experience
  • 4 years of experience with database software
  • 4 years of customer service experience
  • Experience in Membership processing preferred
  • Experience in leadership role preferred
  • Ability to prioritize tasks and to delegate when appropriate.
  • Proven analytical skills
  • Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.
  • Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.
  • Valid driver’s license with ability to be insurable on SCI policy
