Job Description:

Serve as the program assistant to the Director of Operations. Provides administrative and clerical support to Director of Operations and Clinical Placement Team.

PRINCIPAL DUTIES & RESPONSIBILITIES:

  • Program Assistant to the Director of Operations and Clinical Placement Team
  • Generate FNP evaluation & time tracking reports from EValue system to ensure completion for accreditation purposes & processing of preceptor payment.
  • Prepare and submit purchase requests, expense vouchers, and purchase orders.
  • Prepare payroll authorizations& payroll adjustments according to payday schedule for FPD/SDA lab adjunct faculty
  • Prepare stipends for FNP preceptors.
  • Process travel reimbursements for FPD/SDA clinical adjuncts at clinical agencies.
  • Process all invoices related to clinical placement needs (software, training, etc.)
  • Annually track predicted & actual preceptor stipend data for the FNP programs.
  • Update and maintain Adjunct Organization in Blackboard Ultra (clinical requirements & site orientation instructions).
  • Track & follow up with FPD/SDA adjuncts regarding compliance & RN license expirations.
  • Secure meeting space, work with catering vendor, order preceptor gifts, track RSVPs, create thank you letters & provide overall organization of events such as 'New & Returning FPD/SDA Adjunct Faculty Orientation' & 'FPD/SDA Affiliate Breakfast'.
  • Collaborate with SHU Public Safety to book & organize FPD sophomore on-site CPR training.
  • Develop mini-instructional video tutorials for EValue & clinical compliance processes.
  • Input & maintain student clinical schedules & preceptors in EValue.
  • Support the FPD/SDA & FNP Clinical Placement Coordinators.
  • Assist with other duties as assigned.

Requirements:

  • Associate Degree required, Bachelor's Degree preferred
  • Experience in administrative support of director;
  • Knowledge of data entry, spreadsheets and report preparation;
  • Ability to develop, organize and complete projects and tasks utilizing various computer applications such as Microsoft Office 365, Outlook, Word, Excel, and Google Docs;
  • Ability to learn, implement and apply internal software applications such as Colleague, Reporting Services, Adjunct Payroll System, eBuy, eStar, EValue;
  • Excellent customer service and communication skills;
  • Excellent problem assessment, problem solving, prioritization, and judgment capabilities;
  • Ability to manage multiple tasks/priorities at a time;
  • Maintains confidentiality and security procedures related to records and other information;
  • Demonstrates significant initiative and ability to self-organize within established priorities in consultation with the Director of Operations.
