Job Title: AV Project Manager

Class: Regular, Full-Time

FLSA Status: Non-Exempt

Reports to: Director of Project Management

General Description:

The Project Manager is required to plan and manage installation projects. They will ensure that the projects are completed in a timely and profitable manner and ensure that the work done meets the quality of work expected by S&L.

Essential Job Duties:

  • Responsible for supervision of all personnel and activities on project site.
  • Obtain and read all contract documents including, but not limited to: bid drawings and specifications, contract, project workbook, subcontractor scopes of work, and construction schedule.
  • Acquire a thorough understanding of project requirements and objectives including, but not limited to: contractual, financial, technical, schedule, construction coordination, materials, personnel, and scope of work.
  • Setup project in Q360 and Microsoft Teams for successful collaboration.
  • Facilitate internal project kick-off meeting that includes key participants from sales, engineering, finance, procurement, and installation.
  • Examine projects with critical eye to identify possible oversights or pitfalls in advance.
  • Ensure that all project activities fall within the Scope of Work.
  • Coordinate all in house activities associated with project execution, including but not limited to: submittals, engineering, fabrication and installation, programming, commissioning, testing and troubleshooting.
  • Create and manage the project schedule.
  • Function as the focal point for internal and external project communication and documentation.
  • Coordinate activities with general contractor, construction manager, owner and other trades as required.
  • Provide regular reports of job progress to all stakeholders.
  • Assist with, or facilitate the ordering of materials upon approval of submittal documents or verification from engineering for design-build projects.
  • Set PO release dates and requested by deadlines for Inventory Control Coordinator.
  • Coordinate with the VP of Technical Services on and brief technicians on project details.
  • Add consumables and items from project takeoffs to job provided by Lead Technician.
  • Ensure Inventory Control Coordinator is providing regular updates to the expected delivery times of equipment ordered.
  • Responsible to make sure that all parts and supplies are available, designated, and accounted for on each project.
  • Navigate equipment delays by spearheading effort to find appropriate alternatives.
  • Schedule personnel for installation.
  • Maintain relationships with providers of contract labor and elicit quotes for upcoming work.
  • Coordinate delivery of equipment to job sites.
  • Approve invoices related to project expenditures.
  • Cooperatively manage and monitor the labor expenditures of installation personnel over the course of the project and communicate (upward) any issues that impact profitability.
  • Generate and/or respond to construction communication including, but not limited to: requests for information, change order documents, room readiness letters, delay or compression, notification of theft or damage to materials, tools or vehicles, safety or injury reports, warranty information, material handoff or inventory, punch lists, field reports, sign-off documents or other documentation as assigned or required.
  • Proactively manage the change order process with the required sales representative.
  • Complete internal change order process to add/remove materials and labor, as needed.
  • Regularly inspect installation work performed by staff and/or subcontractors.
  • Coordinate and/or provide training to client.
  • Coordinate turn-over of red-lines to sales engineer at the end of each project for as-built drawings.
  • Coordinate closeout procedures including gathering of equipment manuals, drawings, programming files, and warranty to be transmitted to customer.
  • Provide remote support and guidance to technicians in the field, as needed.
  • Supervise Project Assistant in the support of project tasks and deliverables.
  • Work closely with Service Department to address issues and ensure that project information is easily available for reference.
  • Be wary of possible cashflow issues that result from large projects that have extended timelines and take steps to mitigate the burden.
  • Strive for consistent and excellent project implementation from start to finish.

Required Knowledge, Skills and Abilities:

  • Ability to work overtime when required.
  • CAPM, PMP preferred but not required.
  • CTS (Certified Technical Specialist) preferred.
  • Have a fundamental understanding of AV system functionality and installation process and techniques.
  • The ability to supervise and manage tasks and personnel to meet project objectives.
  • Ability to trouble shoot and solve technical, personnel or other project related issues.
  • Proficiency with Microsoft Office, Microsoft project, Adobe Acrobat, and AutoCAD viewing or markup utilities like Bluebeam Revu.
  • Ability to generate timely, concise, and effective business correspondence.
  • Ability to read and comprehend project technical documents including, but not limited to;documents.
  • engineering and architectural drawings, schedules, test reports, or commissioning
  • Ability to create and maintain construction schedules.
  • Ability to interact with employees, customers and colleagues in a professional and courteous manner.
  • Effective time management.
  • Accuracy and attention to detail, administrative accuracy and good follow-up skills.
  • Work independently - Effective interaction with employees and customers.
  • Availability to work outside of normal scheduled work hours and travel as needed.
  • Excellent organizational skills and ability to successfully handle multiple tasks / projects with minimum directions.
  • Decision making skills.
  • Have the ability to finish tasks before deadlines.

  • Must possess a valid Driver's License and be a safe driver.

Physical demands and work environment:

  • Sitting or standing for extended periods of time.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools and to handle other equipment.
  • Ability to lift and transport moderately heavy equipment (up to 50 pounds).
  • Ability to climb ladder, scaffolding or transported by lifts.
  • Clean driving record, background check, and drug testing is required.

Although most work is performed inside, occasional outside activities daily/weekly/monthly may occur for short periods of time in a seasonal temperature-fluctuating environment.
