RWS Entertainment Group is Hiring an Office Manager | Executive Assistant Near Long Island City, NY

RWS Entertainment Group is currently seeking an Office Manager | Executive Assistant to serve as a point person to oversee all office operations and executive assist the EVP, Operations and the SVP, Administration.

Reporting to the Senior Office Manager, the Office Manager | Executive Assistant is responsible for keeping the office running smoothly and overseeing administrative support for the EVP, Operations and the SVP, Administration. An ideal candidate is self-motivated, proactive, with exceptional attention to detail, excellent problem-solving skills, and the ability to quickly pivot when necessary.

Role & Responsibilities

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Manage office budget
  • Manage office supplies inventory and place orders as necessary
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure

  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Assist the EVP, Operations and the SVP, Administration with all administrative and clerical tasks, which includes coordinating travel, drafting correspondence, and generating all expense reports
  • Coordinate travel for additional executive level employees

Qualifications

  • 1-2 years experience as an Office Manager and/or Executive Assistant
  • The ability to quickly problem solve under pressure
  • Exceptional time management and attention to detail
  • Strong negotiation, organization, prioritization, and planning skills
  • Excellent communication and interpersonal skills
  • Proficient knowledge of MS Office Suite

A valid passport for the duration of employment for all travel-related roles. Proof of vaccination against COVID-19 (or proof of exemption) will be required.

  • Resident: Team members who are expected to perform their job in the RWS New York City headquarters due to the nature of their primary duties and responsibilities.

Salary: $70,000 annual exempt salary
